This position is responsible for providing administrative support a group of approxiamately 60 people. Ability to handle procurement tasks is a major function of role, including obtaining quotes from suppliers, entering requisitions for purchase orders, confirming receipt of PO with suppliers, and tracking estimated delivery dates of materials. Key component of this position is to team with other Office Support personnel to ensure an efficiently managed office environment. •Provide primary administrative support to two Directors and maintain schedule and calendar as needed. •Provide administrative support to project team members •Provide procurement support and coordination for purchase orders for the project and operations. •Coordinate the agendas and develop presentations for the monthly building safety meetings and the monthly large group toolbox meetings •Within the realm of responsibility, act as spokesperson for Directors during their absence. Upon request, compose correspondence on Directors' behalf. •Ensure that administrative processes are fulfilled in a high-quality and efficient manner; i.e., Procurement Coordinator, Contracts Coordinator, Hardware/Software Coordinator, Monthly Project Reports, Monthly Maintenance Reports, Budget, Allocation of Space, Building Evacuation; act as a conduit to connect ATC employees with services they need from various Technology Support Services groups; participate as team member for various groups within the division; i.e., staff member, EHS network member, Safety Training coordinator, Bulletin Board coordinator, SWI coordinator, etc. •Independently organize and complete multiple projects to meet customers' expectations and imposed deadlines. . •Coordinate tours, project events, meetings.Highly proficient computer skills (Word, Excel, Powerpoint, MS Project, Visio, Outlook, etc.) Oracle experience is a plus. •Ability to communicate and work with people at all levels of organization, written and verbal •Strong people skills •Possess reasoned judgment and excellent interpersonal skills to make decisions and interact successfully w/all customers. •Ability to work in a collaborative environment •Outstanding organizational skills •Strong problem solving skills at the administrative level •Strong attention to detail •High level of confidentiality •Self-motivated •Ability and desire to learn •Professional demeanor
