Administrative Assistant I, II, Sr. - Job Family

Administrative Assistant I

Responsible for providing administrative support to an individual or department. Primary duties may include, but are not limited to: Maintains general files, orders supplies, screens phone calls and coordinates meetings. Compiles and distributes meeting minutes. Coordinates travel plans and submits expense reports. Compiles, collates, assembles meeting/presentation materials. Utilizes various software packages to produce professional quality reports, letters, presentations and other documents. Performs various technical support duties such as information gathering, reporting, tracking and researching. Organizes chart up-dates. Receives and responds to routine correspondence following established procedures.

Administrative Assistant II

Responsible for providing high level administrative support to an individual or department. Primary duties include, but are not limited to: Researches and verifies information pertaining to reports; prepares/tracks budgets; creates databases and analyzes moderately complex data. Supports projects by assisting manager/department, builds and maintains project plans, schedules and contributes to meetings to ensure project deliverables are met. Prepares correspondence and reviews documentation for conformance with internal policies and procedures. May maintain files, orders supplies, coordinates meetings and compiles and distributes meeting minutes. Handles travel arrangements and expense reports. May screen, handle or distribute incoming calls and complaints.

Administrative Assistant Sr.

Reporting to a Staff VP. Responsible for providing the only high level administrative support to an entire business unit. Primary duties include, but are not limited to: Researches and verifies information pertaining to reports; prepares/tracks budgets; creates databases and analyzes moderately complex data. Supports leadership strategies to improve business performance. Facilitates internal department/unit communications. Supports projects by assisting manager/department, builds and maintains project plans, schedules and contributes to meetings to ensure project deliverables are met. Prepares correspondence and reviews documentation for conformance with internal policies and procedures. Develops policies and procedures for administrative tasks. May maintain files, orders supplies, coordinates meetings and compiles and distributes meeting minutes. Handles travel arrangements and expense reports. May screen, handle or distribute incoming calls and complaints.

Qualifications

Administrative Assistant I

Requires a HS diploma or GED; 2 years administrative experience that include proficiency with personal computer and appropriate software, minimum typing skills of 45 wpm and good proof reading skills; or any combination of education and experience, which would provide an equivalent background.

Administrative Assistant II

Requires a HS diploma or GED; 4 years administrative experience, or any combination of education and experience, which would provide an equivalent background. BA/BS degree preferred.

Administrative Assistant Sr.

Requires a HS diploma or GED; 5 years administrative experience, or any combination of education and experience, which would provide an equivalent background. BA/BS degree preferred.

Please note: This position may be filled at either the Administrative Assistant I, II, Sr. level. The Hiring Manager will determine level based upon the selected applicant's skillset relative to the qualifications listed for this position.
