Executive Assistant/Project Manager

 

A mid-sized IT consulting firm based in north Atlanta has an immediate need for an Executive Assistant/Project Manager with a desire to work in a fast-paced environment.  This position involves facilitating visibility into the progress of projects and tasks and the status of multiple departments, following up on directives given by the Executive Management Team and generating business intelligence by analyzing data and preparing documents and reports.  Qualified candidates must thrive in an entrepreneurial, high-expectation and high-growth environment and must not be afraid of researching new areas and performing new tasks.  The ability to interact with executives, employees and clients at all levels, while remaining flexible, proactive, and resourceful with a high level of professionalism and confidentiality is crucial to this role.  The right candidate will be ambitious, intelligent, energetic and determined.  This position reports directly to the Executive Management Team.

RESPONSIBILITIES

  • Daily tracking and reporting on Action Items, deliverables and projects, by department and by individual with corresponding deadlines

  • Auditing departments for adherence to Executive directives, initiatives and timeframes

  • Preparing agendas, notices and minutes for 4-6 meetings per day and formulating clear, concise, informative minutes and Action items

  • Liaising with various departments to analyze business processes and propose solutions for enhancement

  • Supporting Executive Office in documenting and implementing processes across the organization

  • Writing procedural and policy documentation to effectively present changes and updates

  • Creating PowerPoint presentations for meetings, including monthly All Hands meeting

  • Organizing programs, events, meetings or conferences by arranging facilities, issuing information or invitations, and controlling event budget

  • Scheduling appointments and meetings for the Executive Management Office

  • Screening incoming calls and correspondence and responding in a timely manner

  • Drafting confidential emails and correspondence as directed by the Executive Management Office

  • Comparison shopping for requested resources to obtain the best value and negotiate with vendors and external clients as it serves the needs of the Executive Management Office

  • Project managing various efforts as requested by the Executive Management Office

  • Creating and maintaining a business dashboard comprising of progress report for various projects, departmental reports, issue logs, etc.

  • Conducting research, compiling data, and preparing information for consideration and presentation by executives

  • Performing other duties as assigned.

REQUIREMENTS

 

  • Bachelor’s degree and 2 years of experience with direct executive level support

  • Solutions-oriented with ability to work in a high intensity work environment with rapid project pace

  • Ability to work well with all levels of internal management and staff, as well as outside clients and vendors and to interact professionally with a diverse group of clients and staff

  • Must be able to effectively handle multiple tasks with competing priorities

  • Ability to maintain confidentiality

  • Strong written, verbal and interpersonal communication skills

  • Ability to multi-task, prioritize tasks and manage time effectively to meet tight deadlines

  • Judgment, discretion, initiative, ability to work independently

  • Identifying and resolving problems in a timely manner

  • Prioritizing and planning work activities and using time effectively

  • Extremely proficient with MS Office products including Word, PowerPoint, Excel, Outlook and Visio.

  • Must be able to work evenings and weekends and as needed to meet deadlines, with ability to work flexible hours and to be accessible after hours as needed

  • Ability to organize and coordinate multiple projects

  • Familiar with operations management concepts

  • Problem solving, negotiation and follow-up skills

  • Flexibility and ability to learn quickly

  • Attention to detail and active listening skills

  • Typing of at least 60 WPM
