Responsibilities* To provide administrative support for the Association's travel program and other alumni enrichment initiatives.

Characteristic Duties And Responsibilities

- Provide high quality customer service to alumni and vendors by answering and responding to telephone, email, mail, and in-person inquiries.

- Process travel reservations and ensure smooth booking process and excellent customer service working with vendors and Alumni Relation's team.

- Work closely with the Associations' marketing and communications, customer service, business office, regional relations, and technology teams to ensure that projects are completed accurately and timely.

- Proof and edit letters, email, and marketing materials.

- Update and manage database files including setting up new products, entering reservations, running complex queries, and maintaining mailing lists.

- Develop queries and compile reports from internal databases.

- Monitor the Association's travel web site for accuracy and request changes.

- Maintain relationship with travel vendor customer relations staff to ensure accuracy of passenger lists and to assist passengers.

- Organize and send final mailing packets to guests.

- Send and review guest satisfaction surveys.

- Prepare and send pre-departure materials for travelers (travel insurance, membership information).

- Review trip rosters to ensure all travelers are members and follow up with appropriate communication to obtain membership.

- Serve as a point of contact for faculty representatives and assist them with questions and requests.

- Prepare pre-departure and post-departure materials for the Association's travel representatives.

- Maintain inventory stock for the travel promotional items, letterhead, and folders.

- General clerical duties including maintaining travel files, filing, scheduling meetings, and preparing expense reports.

- Assist in the administration and organization of the Lifelong Learning website.

- Assist in identifying resources available within the campus community that would support the Lifelong Learning website.

- Serve as a point of contact for all U-M school, college and unit partners as it relates to Lifelong Learning initiatives.

- Compile reports from internal databases to gauge success of postings, help identify gaps, etc.

- Provide general administrative support for Lifelong Learning initiative.

- Provide occasional administrative support for student programs and the LEAD Scholars Program.

General Duties And Responsibilities

- Staff team and Alumni Association events.

- Provide staff support to the Alumni Association's Board of Directors, its committees and other volunteers.

- Participate on Alumni Association and other University committees as required.

- Attend appropriate team and staff meetings.

- Remain current with respect to technology and resources.

- Share knowledge through internal communication.

- Represent the Alumni Association at University and alumni functions.

- Research and stay abreast of current trends.

- Support Association vision.

Supervision Received

Direct supervision is received from the Manager of Alumni Enrichment & Travel with some functional supervision received from the Travel Program Coordinator.

Supervision Exercised

May coordinate some work of some temporary employees.

Required Qualifications* - A bachelor's degree or equivalent combination of education and experience.

- 1-3 years of administrative or related office experience.

- Demonstrated commitment to high quality customer service is required.

- Excellent interpersonal and communication skills (both written & oral).

- Demonstrated ability to work independently and exercise judgment in setting work priorities.

- Ability to work well in spite of frequent interruptions and the ability to handle multiple projects are required.

- Strong organizational skills and attention to detail.

- Demonstrated advanced knowledge of MS Word, Excel, Windows and database management, such as Access or FileMaker.

- Working knowledge of world geography (countries and continents).

Desired Qualifications* - Experience/strong interest in planning or assisting in program development is desirable.

- Bachelors degree.

- Experience working in hospitality and/or event management.

- Knowledge of University and Alumni Association policies, procedures, and programs is desirable.
