JOB DESCRIPTION:

Fairs and Expositions (F&E) provides oversight and support for the Network of California Fairs. The Network of California Fairs consists of 78 separate business entities located throughout California, governed by a Board of Directors. F&E provides budget approval and oversight, contract approval and oversight, development of regulations, development of policy and program criteria and oversight for programs areas that directly benefits fairs including Fiscal Operations, Contracts and Regulations, and Fairs Intervention Program.

Under supervision of the Accounting Administrator I, the Agricultural Technician I (Seasonal) performs assignments of average difficulty. In an office setting performs/assists with a variety of budgetary and clerical tasks Fairs and Expositions (F&E) in support of the program goals. Incumbent is expected to be able to independently perform simple to average office tasks. The Agricultural Technician I should be able to work with computers (Word, Excel, Internet, outlook, other) preparing various documents to assist employees at F&E in providing continued support of the program's mission.

DUTIES:

Assist with assembling the Budget instruction package and template preparation for any new accounting and reporting requirements, budget submittal tracking (52 DAAs)

Assist with submittal tracking and dispersing funds from the Fair Allocation Program.

Assist with the assembling of the Statement of Operations (STOP) instruction package and template in preparation for any new accounting and reporting requirements, update STOPs submittal tracking log.

Assist with the assembling of the Statement of Operations (STOP) instruction package and template preparation for any new accounting and reporting requirements, and updates STOP submittal tracking log.

Assist in the reviewing of completed STOPs for mathematical accuracy and completeness, and inform the supervisor of any errors/issues on STOP.

Assist in the monthly SCO review fund reconciliation and agency report and assist with the preparation of the fund/bank reconciliation worksheet for management approval.

Assist staff with journal entries for F&E internal accounting system and prepare transaction form for management approval. Assist the supervisor in monitoring the charges to encumbered amounts against standard contracts and purchase orders.

Act as back up receptionist for Fairs and Expositions. Screen and review incoming telephone calls and visitors. Research questions and respond personally or direct calls or visitors to the appropriate staff.

Sort incoming mail and distribute to employees. Prepare and send outgoing mail.

Schedule meetings, appointments and other events for the program.

Type, revise, and/or combine various materials to produce correspondence using proper format as stated in the Departmental policy and procedures manual.

Proofread documents for correct grammar, spelling, punctuation, and usage. Maintain files in an orderly manner.
