Learn to maintain Timesheets, Adjustment Timesheets, Adjustment Payroll, and Employee Master Table to ensure data accuracy. Review and analyze the CALSTARS Employee Master File Maintenance form and Request for Personnel Action form received from the Budget Branch. Analyze Index and Program Cost Accounting (PCA) information and update the Employee Master Table accordingly. Review the Timesheet Table Activity Report and Adjustment Timesheet Activity Report to ensure consistency with Attendance and Labor Distribution Reports. Contact Regional and Division staff to resolve problems pertaining to incorrect Timesheet coding. Assist with the reconciliation of the Employee Master File (EMF) against the Position Control Database (PCD) information from the Budget Branch to ensure that the EMF data is consistent with the PCD and that Personal Service Charges are distributed to the proper funds. As a learner, review deleted Adjustment Timesheet entries shown on the Timesheet Replacement Report, perform research and analysis and take the necessary corrective actions. Responsible for providing assistance, research, and response to customers' inquiries regarding Personal Service charges. Analyze labor distribution data extracted from various labor subsystems and prepare necessary financial transaction reports to assist Regional and Division staff in reconciling labor related expenditures. Train employees, assign workload, compile workload statistics, and prepare notices to staff on rule changes regarding employee exemption time reports. As a learner, compile, reconcile, and distribute master payroll, seasonal payroll, salary advances, and overtime checks to all department staff. Verify and update the Division and Branch Payroll Contact List. Prepare unreleased warrant report to Human Resources Branch. Schedule meetings and maintain the appointment calendar for the Branch Chief and other branch supervisors. Arrange conference calls, schedule travel arrangements. Screen and schedule hiring interviews and prepare interview packets. Maintain office equipment and contact appropriate agencies for facility maintenance and repairs. Perform clerical and administrative duties in support of the Branch Chief and other Branch staff. Independently compose correspondence, proof read memos and letters for grammar, spelling and format. Finalize memos and letters for Branch Chief signature. Track Director Action Requests and bill analysis. Distribute and track incoming and outgoing assignments. Provide front counter type duties, like phone coverage for the Branch. Provide backup and assistance to ASB staff, type correspondence, create flow charts, and generate personal computer based activity reports. Establish, maintain and track ASB's subject files. Post notices and maintain information for updating the bulletin board. Maintain publication updates to the Fish and Game Code, Title 14, Fish and Game Operations Manual, Personnel Payroll Manual, Departmental Bulletins, Executive Orders, etc. Maintain the branch chronological files. Sort and distribute accounting documents. Other miscellaneous duties as assigned, such as respond to special requests and performs other related duties associated with accounting activities performed within the Department of Fish and Wildlife. Special event arrangements.
