Summary:

Performs standard, advanced and confidential secretarial duties requiring broad experience, in depth skill and knowledge of organization policies and practices. Prepares correspondence, memoranda, reports, etc. Composes routine correspondence and memoranda. Screens telephone calls and visitors, and resolves routine and some complex inquiries. Schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements. Prepares and distributes minutes of meetings. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures. May utilize the assistance of one or more lower level secretaries on a project basis. Operates a personal computer and appropriate software packages or its equivalent.

Essential Functions:

1. Schedules and organizes complex activities such as meetings, travel, conferences and department activities.

2. Performs desktop publishing. Creates and develops visual presentations.

3. Establishes, develops, maintains and updates filing system for the Executive and the department. Retrieves information from files when needed. Establishes, develops, maintains and updates library of trade journals and magazines.

4. Organizes and prioritizes large volumes of information and calls.

5. Sorts and distributes mail. Opens mail for the Executive. Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.

6. Answers phones for Executive. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other system development assistants to cover phones.

7. Acts as a liaison with other departments and outside agencies, including high-level staff such as CEOs, COOs, SVPs, GVPs and other leaders. Handles confidential and non-routine information and explains policies when necessary.

8. Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the Executive, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.

9. Handles details of a highly confidential and critical nature.

10. Makes high level contacts of a sensitive nature inside and outside the company.

11. Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors.

12. Exercises judgment within generally define practices and policies in selecting methods and techniques for obtaining solutions.

13. Works on complex issues where analysis of situations or data requires an in-depth evaluation of variables.

14. Exercises judgment in selecting methods, techniques and evaluation criteria for obtaining results.

15. Networks with senior internal and external personnel in own area of expertise.

16. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.

17. Supports maintenance of the department finances. Activities include: copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.

Required Education and Experience:

1. Bachelors degree or equivalent from two-year college or technical school; and 6-7 years executive assistant experience; or equivalent combination of education and experience

2. A seasoned, experience professional with a full understanding of area of specialization.

3. Normally receives little instruction on day-to-day work, general instructions on new assignments.

4. Excellent interpersonal and communications skills including written and verbal

5. Positive, friendly and helpful attitude

6. Knowledgeable with office systems (copier, fax, phone, computer)

7. Ability to handle sensitive and/or confidential material and information appropriately

8. Strong knowledge of MS Word, Outlook, PowerPoint and Excel
