Part-Time Executive Assistant

Universal Health Services Behavioral Health Division is currently seeking a part-time Executive Assistant to support our Divisional Vice President of Behavioral Health. This position will be located at Friends Hospital 4641 Roosevelt Blvd. Philadelphia, PA 19124-2399 . The ideal working schedule will be 2.5 days per week preferably full day (8 hours) Monday's and Fridays with a half day (4hours) within the week is flexible.

Candidates must be detail oriented, excellent customer service skills, the ability to communicate concisely, as well as manage schedules, and multiple tasks. The ideal candidate will have worked within a hospital setting supporting a department leader. Skills with Microsoft Word, Power Point, Excel are required.

The Executive Assistant will provide administrative and secretarial support to the Divisional Vice President of Behavioral Health. This position will maintain and enhance information management and communication in accordance with corporate office support procedures and practices. Provide collaboration and communication with various regional Behavioral Hospitals and UHS Corporate in King of Prussia, PA.

Essential Job Duties

Facilitates communication between Behavioral Health facilities and Corporate office to access information, share resources and provide support. Requests, collects, and compiles information from Behavioral Health Care facilities management as requested by the pertinent parties. Screens, redirects or responds to all matters of inquiries. Generates reports or summaries of information on a prescribed periodic or as requested basis. Serves as an information resource to facility or Corporate personnel as required. May coordinate information requests and collection, required of facility management. Establishes updates and maintains all required records and information files, whether by electronic or manual means, such as expense reports, budgets, salary actions, etc. Types correspondence, reports, etc. Copies materials. Sorts and distributes mail. Takes meeting minutes. Provides business guest courtesy functions such as arranging lunch and dinner reservations. Coordinates travel and lodging arrangements. Coordinates on-site and off-site meetings, which includes venue, invitations, meeting materials, lodging and reservations, special events, audio-visual equipment, catering, and cost tracking. Maintains proper levels of required office supplies and ensures maintenance of equipment. Determines the optimum manner with which to organize the office and related administrative systems, processes and records. Performs other duties as assigned/requested.

High School Diploma with 5+ years' experience administrative support experience required , Bachelor's Degree with 3+ years administrative support experience preferred . Demonstrated working knowledge of practices related to general office administration and secretarial functions such as record maintenance, travel, reporting, communication, business etiquette, typing, mail services, office equipment requirements and maintenance, and office supplies. Working knowledge of electronic mail, word processing, databases, electronic spreadsheets and related PC based operating systems such as MS Windows and Office. Normal office equipment such as telephones, copiers, printers, etc. Able to communicate effectively with senior management and facility executives. Maintains confidentiality when appropriate. Experience as an executive assistant to a senior executive preferred.
