Responsibilities* Executive Support

Provide executive support for Assistant Dean. Exercise discretion and professional judgment to analyze and resolve complex information requests and issues related to recruitment, admissions, and financial aid. Implement executive decisions fully, and exercise the highest level of discretion in confidential matters. Anticipate and provide counsel on items needing attention. Compile statistics and/or research impact of management decisions, and recommend courses of action where appropriate. Draft and prepare proposals, presentations, and reports for review and circulation. Enrollment management support: solicit faculty input (annual survey); prepare reports and working documents. Deliver timely admissions statistics; circulate results and trending analysis. Suggest and prompt staff meetings (GO sessions) tackling relevant topics; prepare and distribute agendas and minutes. Admissions Office Budget: monitor expenses; communicate with project leads; authorize expenditures by intern(s); recommend executive action where appropriate. Manage executive's calendar, phone, and email, secure travel reservations, and reconcile expense reports. Admissions & Recruitment- Administrative Management

Assist and support the AD with application reviews, data entry, and communication. Provide administrative support for the SMTD merit-based financial aid process, including establishing faculty meetings for admission & aid recommendations. (February-May) In collaboration with Academic Affairs, oversee the delivery of summer and fall orientation programs. Provide leadership on behalf of Admissions in ensuring a smooth entry and transition for incoming students. Hire, train, and supervise work-study students and one intern for various assistant office roles. Meet with prospective students and families as needed. Travel for SMTD outreach as assigned; some weekends or evenings may be assigned. Provide back-up support for 1) recruitment and admissions visits database, setting appointments as needed; 2) VISA eligibility and I-20 request forms for MM and Specialist international students.

Required Qualifications* A Bachelors degree is required; collegiate study in music, theatre, and/or dance is preferred. A Masters degree or some graduate studies is a plus. Extensive administrative and customer service experience is essential. Student services experience in admissions, academic affairs, or recruitment is necessary. 1-3 years of experience in a student services area is required. Experience in an academic program is a plus. Demonstrated ability to exercise a positive service-oriented attitude, initiative, and independent judgment. Capacity to plan, organize, and manage a large and diverse workload with excellent attention to detail and the ability to meet deadlines is essential. Excellent organizational, problem-solving, and interpersonal skills including the ability to work collaboratively in a team environment is necessary. Demonstrated ability to work effectively with individuals from diverse communities and cultures. Strong oral communication skills are essential, including the ability to exercise tact, diplomacy, and the ability to maintain confidentiality in matters of a sensitive or confidential nature. Excellent writing and sophisticated skills in English are crucial. Knowledge of and personal commitment to continuous business process improvement is required. Capacity to adapt to a changing environment is required. Experience in a Macintosh environment, with a working knowledge of Filemaker Pro and Microsoft products (e.g., Word, Excel, and PowerPoint) is strongly preferred.

Desired Qualifications* Cross-cultural oral and written communication skills and experience, including proficiency in a foreign language, and some experience working with students from international countries. An understanding and appreciation of higher education and the diverse cultures of the schools and colleges within the University. Working familiarity with the M-Pathways (PeopleSoft) Student Administration system. Knowledge of University policies and procedures, particularly admissions and financial aid.

Functional supervision exercised over one intern, plus student, temporary, and seasonal staff as assigned.
