Job Summary The administrative assistant will work in collaboration with the baseball, track & field, and cross country head coaches and their teams while contributing to the Michigan Athletic Department and its student-athlete's success. While this position supports nine coaches from five varsity teams, for purposes of salary reviews and performance evaluation, the position will report to Sport Administration.

Responsibilities* - Provides administrative and secretarial support for the baseball, track & field, and cross country teams and coaches

- Prepares, reconciles, and processes expense reports and other reimbursements

- Ensures compliance with NCAA rules and regulations

- Organizes and arranges team meals and travel

- Maintains and updates alumni relation lists and plans all aspects of alumni events such as tailgates, golf outings, and reunions

- Works in collaboration with the Director of Baseball Operations and the Director of Track Operations on various aspects

- Assists in the preparation of draft correspondence such as letters, emails, and other documents

- Orders office supplies

- Schedules and maintains multiple calendars

- Demonstrates ability to handle general phone calls and inquiries

- Organizes recruiting travel for the coaches and visiting recruits, and arranges recruiting meetings with on and off-site offices and departments.

- Maintains responsibility of opening and closing doors and securing the building

- Performs all other duties and responsibilities as assigned

Required Qualifications* -Five years of administrative assistant experience in a professional office setting.

-Considerable experience in performing responsible office duties or an equivalent combination of education and experience is necessary.

-Excellent organization skills with the ability to organize, manage, and multi-task a variety of duties with attention to detail. Must be able to meet deadlines in a timely manner while demonstrating flexibility as priorities and deadlines change.

-Must exercise initiative, sound judgment, diplomacy, and confidentiality.

-Must demonstrate a positive, high energy, and customer-service oriented attitude with all customers and team members.

-Exceptional interpersonal skills.

-Proficiency in word processing (MS Word), calendar/scheduling, and spreadsheets and computer file management.

-Ability to manage a high volume of work flow and changing priorities and demands at any given time.
