General Duties:

Answers telephones in a polite and courteous manner.

Schedule appointments. Advises patients when necessary of changes in schedule. Monitors and maintains physicians meeting and time off schedule.

Creates and updates patient demographics to include phone number, address, ins. Information, referral, etc.

Greets patients, obtains and verifies patient information with each phone call and every opportunity.

Obtains authorizations when needed. Coordinates referrals for patients. Maintains knowledge of referral sources.

Observes strict patient confidentiality when dealing with callers and patients in office.

Monitors patients' no shows and late appointments per policy.

Takes accurate messages (who, what, where, why, when, how much, date and time, patient full name with correct spelling and date of birth) using minimal abbreviations.

Reviews appointment reminder reports and takes action as necessary.

Obtains needed reports as needed by physicians for patient care. Reviews and works administrative (front office) items in Athena in-buckets.

Collects co-pays and other patient payments. May also notify patients of outstanding payment.

Copy patient medical records in accordance with policies and procedures.

Assists other staff when needed to ensure team approach and to provide quality care.

Ensure patient signature for office dispensing of samples and prescription pick up.

Triage of patients, including pediatric, adult, geriatric patients as needed.

Operates fax, copier, telephone system.

Operates Athena and other systems.

Understands patient check-in and check-out processes.

Understands end of day cash balancing and charge reconciliation processes. Education: High School Diploma or equivalent, required.

Experience: Previous experience in medical office required. Some medical terminology required. Pleasant personality for handling telephone and patient contact. Licenses/Certifications: CPR certification required.
