Job Summary The Department of Radiology has an immediate opening for an advanced Senior Administrative Assistant. This proactive, analytical, flexible, and detail-oriented person will provide comprehensive professional and administrative support to the Division Director and other physicians as well as other healthcare providers. Reporting to the Manager of Clinical and Faculty Support Services, they will be responsible for assisting in secretarial and administrative duties; proactively staying abreast of faculty and healthcare provider needs and managing them; coordinating confidential matters; serving as a liaison to faculty, staff and external resources; and resolving problems.
Responsibilities* Perform a full range of secretarial and administrative duties
Maintain appointment calendars and arranges meetings and interviews with a variety of individuals both inside and outside of the Radiology Department, both staff and faculty
Provide resources to meetings, including materials and AVI equipment, preparing agendas, taking minutes and arranging interview itineraries
Create forms, excel spreadsheets, databases and power point presentations
Assist with the process of credentialing and re-credentialing paperwork
Prepare and send correspondence on behalf of the Division Director often of a confidential and sensitive nature
Make all travel arrangements and process reimbursements through the University or outside agencies
Process reimbursements from Professional Development funds. Track medical license renewals, journal renewals, society memberships, etc.
Exercise discretion and independent judgment
Prepare and proofread various documents
Assist with the preparation of manuscripts and research grant/contract applications
Assist with special assignments as needed
Create & maintain monthly MSK division schedule
Create & maintain MSK faculty & MSK fellow absence calendars
Receive, approve & process faculty & fellow absence requests using department & division criteria
Send out & receive quarterly fellow's evaluation of faculty forms & keep log of results
Receive & process MSK fellowship applications
Set up and coordinate MSK fellow interviews
Process MSK fellow visiting observers from UCSD using department criteria
Maintain MSK biopsy & aspiration database
Required Qualifications* High School diploma or an equivalent and more than 4 years of experience in an administrative assistant position
Demonstrated meticulous attention to detail and ability to prioritize and be efficiently productive despite competing deadlines.
Demonstrated successful experience effectively managing multiple calendars of senior level management and/or faculty.
Demonstrated ability to anticipate leadership needs and proactively manage them.
Solid organizational, analytical and problem solving skills.
Experience drafting professional letters, memos, e-mails, and improving processes.
Demonstrated proficiency with Microsoft Office Word, Excel, PowerPoint, e-mail, and complex calendaring.
Superior organizational and interpersonal skills.
Demonstrated high degree of professionalism and trust with ability to exercise judgment and appropriately handle sensitive information with confidentiality.
Strong ability to work independently and as part of a team.
Experience with a travel and expense management system.
Punctual and consistent attendance.
Ability to follow Radiology Gold Standard Customer Service guidelines consistently which incorporates providing excellent communication and customer service skills, both written and verbal
