Office Coordinator


 
Objective: The Office Coordinator is expected to perform a variety of clerical and administrative duties within a fast paced office setting. Our Office Coordinators are expected to greet and welcome all visitors, field incoming calls in a friendly and professional manner, manage scheduling of CAREgivers and clients in a timely and effective manner, as well as demonstrate knowledgeable of and reflect the core values of Home Instead Senior Care.

Primary Responsibilities

Greet and welcome all visitors in a friendly and professional manner
Answer incoming phone calls in a professional and knowledgeable manner, as well as distribute incoming calls to appropriate staff members
Field new client service inquiries in a knowledgeable and professional manner and schedule Care Consultations
Field employment inquiries in  friendly and knowledgeable manner
Communicate client and CAREgiver concerns to owner and appropriate key players as appropriate
Manage scheduling of clients and CAREgivers for effective utilization of staff  as delegated
Assist with invoicing and mailing of client billing as delegated
Participate in weekly key player meetings
Must be able to establish good working relationships with CAREgivers, colleagues, management and other franchise staff. 
Ensure Home Instead Senior Care standards are upheld
Participate in on call duties as required


Secondary Responsibilities
Demonstrate strong verbal and written skills
Ability to listen effectively
Possess the ability to work independently as well as a team to meet deadlines
Demonstrate discretion, integrity and maintain confidentiality consistent with Home Instead Senior Care standards, policy and expectations
Ability to organize and prioritize daily, weekly, and monthly work. Be time efficient.
Able to operate office equipment
Be proficient in Office, Excel, use of various online skills


Education/Experience Requirements
High School Diploma
One year of office experience
Equivalent work experience may be considered
Must possess a Driver's License
Successfully pass background study
