Purpose

We are looking for a creative business professional with proven experience leading the planning of meetings and events, experience in managing multiple projects, and interacting with senior management and business executives. The Meetings and Events Manager is a highly visible role which demands extensive customer service skills, a high level of professionalism and willingness to handle all planning and administrative details of meetings and events. The ideal candidate will thrive in a challenging and fast-paced atmosphere. They will also have the ability to work quickly and efficiently on several projects at one time, ability to multitask and prioritize, are results oriented, have strong time management skills and work enthusiastically in a constantly changing environment. Exceptional attention to detail and organizational skills are required. Success for this role is defined by executing exceptional events that are organized, on-time and on-budget.


Primary Duties and Responsibilities include:

•Manage meetings, conventions, trade shows and special events.

•Coordinate and execute services for events, such as participant flights, accommodations, ground transportation, catering/menu selections, audio-visual equipment, off site meals and activities and any other special requirements.

•Negotiate prices and agreement terms with selected vendors and present pricing to management for approval.

•Assists with the development and production of event materials, including but not limited to, invitations, registration announcements and instructions, event program books, speaker bios and presentations, videos, and others to ensure that materials are completed on time and error-free.

•Prepare and manage registration site, tracking reports and rooming list reports. Act as registration tool “help desk” support.

•Responsible for budget creation and adherence, post-event reporting, accounting and follow-up.

•Attend events to ensure that sites and vendors comply with the terms of the event contracts and assist with attendees’ needs.

•Create and maintain strong relationships with corporate departments, franchisees, and product and service vendors.

•Contribute effective ideas to meeting strategic planning and analysis processes.

•Contribute to overall team success by identifying problems and proactively seeking methods to improve self-performance and/or efficiency of an operation or task.

•Adapt to crisis situations, changing procedures, methods or processes.

•Assert compliance with corporate travel policy.


Desired Skills and Experience

•5+ years of experience in leading the planning of meetings and events, including site selection and hotel negotiations

•Bachelor’s degree in Hospitality, Communication, Marketing or related field preferred

•CMP preferred

•Strong project management skills required

•Ability to effectively prioritize and execute tasks conforming to shifting priorities, demands and timelines

•Strong analytical and problem-solving skills

•Ability to coordinate several projects simultaneously

•Ability to work directly with a variety of audiences in a responsible, appropriate and service oriented way

•Strong written and oral communication skills

•Strong interpersonal skills

•A high degree of responsibility, initiative and professionalism

•Advanced computer proficiency in Microsoft Office suite. Prior experience with event management registration systems (preferably eTouches) or other web-based registration management systems.

•Ability to work evenings, weekends, and travel as events require.
