Sleep Number is seeking a highly effective Executive Assistant II to provide a wide-range of executive administrative support for the enterprise-wide leaders and their direct reports to enable leaders to focus on our customer and business driving activities.
Responsibilities:
- Manage calendar, email and voicemail management while proactively anticipating challenges and conflicting priorities for multiple executives
- Responsible for making domestic and international travel arrangements
- Interact with all levels of internal employees and external partners
- Create/edit presentations/correspondence for review with some instruction
- Responsible for budget reconciliation and expense processes
- Handle information requests and coordinate execution of company-related programs
- Prepare various Word, PowerPoint, and Excel documents to ensure accuracy, confidentiality and professionalism
- Coordinate and manage office supplies
- Lead document management and filing
- Assist team in the development and coordination of executive presentation materials for a variety of meetings
- Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
- Other duties as assigned
Qualifications:
- Strong oral and written communication skills
- Strong prioritizing, organization, problem solving and decision making skills
- Task oriented, organized with the ability to manage multiple tasks; flexible with a high degree of initiative, and ability to balance fluctuating workload
- 8+ years experience supporting at the executive level in a fast-growing environment
- Advanced calendar management skills, including the coordination of complex executive meetings
- Advanced knowledge of MS Office 2010, including Word, Excel, PowerPoint and Outlook
- Experience scheduling travel arrangements for management
- Demonstrated experience in creating and modifying processes to enhance internal customer experience
- High school diploma or equivalent required – post-secondary degree preferred
- Ability to work with all levels of staff
- Ability to take direction from many managers.
- Proactive anticipation of the needs of the leaders.
- Ability to establish trust and handle confidential information
- Ability to successfully manage interruptions during the workday to meet employee and company needs
- Ability to work overtime, as needed
