The Legal Department of JPMorgan Chase & Co is responsible for the provision of legal services to the Corporation. The department also includes the Office of the Secretary.

Legal is organized by Practice Groups that conform to the organization of the Firm's lines of business (LOBs) and corporate staff areas, allowing the legal staff to work closely with specific groups on a daily basis. Each line of business has an LOB General Counsel, who is the Practice Group Head and who reports to the Firm's General Counsel. This structure provides the means for the legal teams to communicate legal and regulatory changes to the businesses and staff areas, and for the LOBs and staff areas to communicate business developments that have legal or regulatory implications to the legal teams in a timely manner.

Description

Day to day duties will include scheduling meetings and appointments, logistics coordination and management of certain projects, travel schedules, processing expense statements and reserving conference rooms as necessary. Your daily routine also includes interaction with various executive level internal clients across the lines of businesses. You will need to adopt procedures, processes and techniques to complete assignments in line with the department's activities and goals. The duties and administrative functions will require confidentiality, initiative, sound decision-making, independent judgment and the ability to escalate serious or unique problems to higher levels.

Administrative Responsibilities:

Provide telephone coverage and actively manage several email inboxes Provide administrative support for the team Manage the calendars of multiple team members and work effectively with other administrative assistants to coordinate/plan meetings and conference calls, which may involve numerous time zones Manage general office needs such as ordering supplies, mail distribution, and floor maintenance Develop and maintain electronic and hard copy files as needed Assist drafting and editing Microsoft Word documents, Power Point presentations, and Excel spreadsheets Process timely and accurate expense reports Assist with staff onboarding and off boarding which includes requesting equipment setup and system access Book travel arrangements and organize itineraries Performance Expectations:

PowerPoint-savvy, Excel-savvy - must be able to make updates in team presentations Calendar management/document organization Maintain department equipment (fax machines, copiers, printers, etc.) Complete tasks, whether routine or urgent, successfully and in a timely manner Coordinate group coverage (i.e., vacations, training and temporary assistance) Assist with overflow, special projects and day-to-day tasks Document/report/presentation preparation Other administrative/general tasks Strong interpersonal, written, and oral communication skills Strong organizational and time management skills Self-starter, ability to work in a fast-paced team environment Maintain confidentiality of information Willing and able to learn the business and fully understand how and why tasks satisfy business needs Ability to work independently as well as part of the team to ensure that the needs of the group are always met and that adequate assistant coverage is provided to the group Understand and demonstrate good problem-solving skills

Qualifications:

Minimum 3-5 years senior executive secretarial experience

Proven PC skills, highly proficient in all Microsoft Office applications (Word, Excel, PowerPoint, Outlook)

Enthusiastic, self-motivated, effective under pressure, and flexible

Able to work with minimal supervision, works well individually and in teams, shares information, and supports colleagues

Solid organizational and time management skills

Excellent verbal and written communication and interpersonal skills required with the ability to produce high quality emails and messages to individuals at all levels of the organization

Excellent telephone skills (i.e. takes accurate and complete messages)
