Actavis is seeking an Executive Assistant to support the rapid growth of our fast-paced company.  This position will support one or more Executives, providing a high-level of administrative and executive support. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure and handle a wide variety of activities and confidential matters with discretion.  The ideal candidate will have a professional and polished demeanor, be regarded as a team player and possess a helpful attitude towards employees across organizational lines.  
 
ESSENTIAL JOB DUTIES
 
Responsibilities include, but are not limited to:
 
*Proactively and independently manage, analyze and coordinate frequently changing  calendars and itineraries, plan and schedule future meetings and agendas on behalf of the Executive(s)
*Prepare for and support meetings including scheduling and preparing appropriate meeting space, order catering ( if needed) and assist with materials, presentations and other resources as needed
*Provide professional and confidential administrative and research support to the Executive(s)
*Communicate with and provide information to board members as needed
*Coordinate travel arrangements for Executive(s) to include itineraries and reservations
*Prepare high quality executive level Word Documents, Power Point Presentations and excel spreadsheets
*Summarize content of meetings and other materials to assist Executive(s)
*Keep the Executive(s) on task throughout the day to ensure timeliness for important meetings, conferences, phone call etc.
*Compose correspondence, memos and various reports for Executive(s) as well as content for Board Meetings. This includes proofreading, attention to accuracy and ensuring professionalism of all materials and presentations
*Remain respectful of, and at all times compliant with, company rules, policies and procedures and management direction
 
 
EDUCATION, SKILLS & QUALIFICATIONS
*                 
*4 year degree in Business or equivalent required
*2 + years in an administrative role, preferably on an executive level, preferred
*Strong decision making ability and attention to details
*Candidate must maintain a high level of integrity and possess exceptional sensitivity to and proper handling of confidential information
*Self-directed, as well as strong organizational skills and time management
*Expert level written and verbal communication skills
*Must possess advance knowledge of MS PowerPoint, MS Excel and MS Word
*Strong ability to solve practical problems in a timely manner
*Strong project management skills and ability to multi-task under high-pressure situations with a sense of urgency
*Strong business acumen with a track record of success in gathering, analyzing and organizing complex information to compose materials for distribution/presentation
