The Facilities Analyst/Property Manager is responsible for managing the overall direction and day-to-day facilities issues for Aaron's stores and distribution centers. Works closely with outside vendors, Store Operations, Lease Administration and the Real Estate team to maintain the facilities and meet lease obligations. May assist with system administration of the Aaron's work order management system and 3rd party call center.

Job Duties

· Manage the overall direction and day-to-day facilities issues at Aaron's locations to ensure services are being performed to specifications.

· Will act as the first point of contact for all work order management activities, which entails properly handling escalations from Aaron's locations and/or vendors, thoroughly reviewing and approving quotes and invoices, managing warranty claims, and ensuring proper close out of work orders. May also involve managing 3rd party call center reporting to ensure service level agreements are met.

· Upon escalation, work with Aaron's Landlords as needed on repair requests and partner with the Legal and Lease Administration teams on any repairs that need to be billed back to Landlord.

· Provide analytical and research analysis of repair accounts such as developing maintenance budgets, managing budgets, forecasts, variance analysis, and work operational metrics.

· Utilize reporting that is provided by the work order management system (and in some cases develop ad hoc reporting) to analyze trends, identify outliers, and resolve issues.

· Present analysis, findings, etc. to management and recommend action plans for course correction and efficiency improvements.

· Assist with overall vendor management, which includes developing performance reporting and scorecards, frequent business reviews to discuss performance, and holding vendors accountable to service level agreements and scopes of work.

Required Skills

  • Ability to handle large amount of data to create meaningful reporting and analysis to support optimal decision making.
  • Proven ability to create and manage project budgets, reporting and timelines.
  • General understanding of basic accounting principles (work orders, invoicing, approvals, etc.)
  • Ability to interact with service providers, Landlords, and internal customers in a professional manner.

· Must be able to communicate effectively, be customer service focused, and well organized.

Education & Experience

· Bachelor's degree in Business, Finance, or other related field from an accredited university

· 3+ years of relevant job experience in an analytical or financial capacity supporting operations, facilities or other relevant field

· Strong knowledge of Microsoft Office package (with emphasis on MS Excel)
