Aerotek is seeking a Construction Assistant for a local client. This opportunity is a contract to hire opportunity, Monday - Friday. This client is looking for a candidate that will retire with the company and that will look for growth and opportunity internally.

Qualified Candidates:

  • Strong Excel and data entry skills
  • 1-3 years of commercial administrative experience
  • Will have good time management
  • 1-3 years experience with COP Logs, warranty letters, retainage packages, blue print, or vendor collections experience

Job Description:

A.Construction Phase
1.Perform administrative tasks for Project Manager, i.e. typing agendas, minute meetings, memorandums, subcontracts/purchase orders and subsequent modifications, applications for payment, transmittals, change orders, change order proposals, punch lists, invoices, letters, notice of commencement and general correspondence for projects.
2.Be aware of all regularly scheduled meetings for your manager and forward a clean working draft of Agendas for these meetings to them the day before the scheduled meeting.
3.Assist Project Manager when out of the office by reviewing any phone messages, taking or returning calls, and determining what action may be required, etc.
4.Provide administrative assistance to the Superintendents assigned to your Manager(s) projects.
5.Order temporary telephone and electrical service for job sites as necessary.
6.Assist in taking telephone bids on bid days for prospective projects.
7.Ensure that all parties have the necessary drawings and/or specifications required to submit their pricing.
8.Incorporate any addenda information into construction documents.
9.Create Project Directories subsequent to the Subcontractors and Vendors being selected for each project, and update the Directory periodically to keep it current.
10.Ensure all filing for your Project Manager's projects is completed on a weekly basis and kept up to date.
11.Make any travel and/or lodging arrangements necessary for your Project Manager(s) and create an itemized itinerary.
12.Gather information necessary for Project Manager to complete monthly applications for payment on or about the 28th of each month. Be aware of any contract requirements that pertain to the application for payment for that particular project, i.e. when retainage may be reduced, waivers are needed, etc.
13.Collect receivables by the 15th of the following month or per contract terms. Communicate with the owner/architect (or approval agent) in a professional and courteous manner.
14.Contact Subcontractors and Vendors as necessary for follow up on any outstanding items.
15.Follow up and ensure that each Subcontractor and Vendor returns all Subcontracts and Purchase Orders signed within seven (7) days after being delivered. Notify Accounting if Subcontracts and Purchase Orders are not received back in the required time frame.
16.Maintain subcontract, purchase order, accounts receivable, closeout, control and COP Logs.
17.Input cost code budget information into the company's job cost accounting program and distribute.


B.Project Closeout
1.Create warranty letters and retainage packages for subcontractors at the end of projects.
2.Prepare close out manuals to be submitted within twenty-three (23) days after substantial completion of each project, and ensure that all necessary warranties, test reports and operation and maintenance instructions are included.
3.Compile all information required for retention at the completion of a project.
