Project Accountant
The Project Accountant I is a key member of the EASi Delivery Quad. The PA works closely with the EASi Delivery and/or Program Manager to provide support for project management, control, tracking, reporting and visibility for the Delivery Team and client. The EASi PA's primary responsibility is to ensure all projects and project-based work is set up, structured and documented to deliver accurate and effective tracking of project schedules, resources, budgets and funding against established control objectives. The PA maintains a roster of all resources to include skills, competencies and certifications. The PA has prime responsibility to track and report current and anticipated utilization of resources. The PA relies on their thorough knowledge, experience and understanding of Engineering services procurement, delivery, and billing workflow to proactively identify, resolve, and/or escalate, issues as needed. The PA is the primary source for reporting and visibility for the program.
Primary Duties and Responsibilities:
PROJECT SET UP - Assist the Delivery, Project and/or Program Manager with Project Set Up
- Establishes the "Project Files" to meet EASi requirements, client requirements, and satisfy Control Objectives
- Works closely with the EASi Back Office staff to ensure accurate project accounting setup in EASi Financial systems
- Collects, organizes, stores and maintains all project related documentation. i.e. SOWs, PO's, Change Orders, etc…
- Assists in project estimation as required
PROPOSAL MANAGEMENT - Works with the Program Manager to develop, deliver and track proposals
- Assists EASi Project/Program manager to draft proposals for client RFPs
- Creates estimates based on industry knowledge, previous projects and anticipated efforts
- Collaborates with the EASi Project/Program manager on the final proposal submission
- Tracks proposal status and communicates anticipated work pipeline to the Program team
WORKFLOW - Manage Project Workflow - Process Purchase or Work Orders, Change Orders, etc...
- Maintains subject matter expertise on end-to-end project workflow (client procurement initiation to EASi cash application)
- Accepts, validates and processes new work (PO's, SOWs, etc...)
- Sets up new work or change orders in the appropriate EASi systems and notifies all impacted parties
- Ensures communication and distribution of new work to all relevant EASi parties
TRACK FUNDING - Tracks and Manages Project Budgets and Funding
- Works with Client resources to request, track and reconcile project funding
- Creates appropriate requests and change orders as needed to ensure proper funding is in place
- Works closely with EASi Back Office to ensure EASi and client are aligned on funding status
TRACK RESOURCES - Tracks Project Resources
- Maintains a roster of current resources, by assignment, skills, and competencies
- Assists Project Manager with resource availability forecasting and skill alignment
- Tracks resource certifications by type and expiry
TRACK TIME - Tracks and Reports Project Time
- Collect, track, process and report Project Time against estimates
- Allocate reported time against appropriate tasks
- Assist and collaborate with EASi Back-Office teams to ensure accurate invoicing
- Create, run and deliver Project Time reporting as required
PROJECT DOCUMENTATION - Maintains Project Management Documentation
Maintains all Project Management related documentation (as appropriate) to include but not limited to:
- Project Management Plan, Schedule, Stakeholder Register, Scope, Budget, Risk Plan, HR Plan, Quality Plan
Project Monitor & Control documentation
- Recurring Project Status Reports and Project Action Item Lists
REPORTING - Project Reporting
- Performs project analysis and provides reports to project manager for:
- Project status - actuals versus estimates
- Cumulative project summaries for cost, time and resource usage
- Project accruals for cost and time
- Resource usage, scheduled and availability
- Project information required to support invoicing as needed
PROJECT MANAGEMENT METHDOLOGY
Maintain a working knowledge of formal Project Management (PMBOK) principles, protocols and methodology
Requisite Abilities and/or Skills:
- 3-5 years' experience providing comprehensive project support in an Engineering/Construction organization
- Demonstrated success in a project-based engineering/construction environment
- Ability to support multiple projects and at least 3 project managers concurrently
- Experience working with the following applications highly desired:
- eBuilder
- Oracle iSupplier
- Hands on experience with working knowledge of:
- Project Portfolio Management (PPM) and Project Information Systems (PIS)
- Project Control concepts and practices
- Project Scheduling concepts and practices
- Project Reporting - Project Status
- Project Management - Managing the Triple Constraint - Cost, Time, Quality
- Excellent communication and interpersonal skills; daily communication with project teams at EASi and our customers
- Team player with ability to work in a highly cross-functional and virtual environment
- High level of personal character and integrity
Highly proficient in PC applications; MS Office suite of tools a must; very high proficiency required in MS Excel , knowledge of SharePoint
