Responsibilities

The Executive Assistant to the Market President’s primary responsibility is to provide logistical support and office coordination to the organization, ensuring the team is equipped with appropriate systems and tools. Specifically, the position is responsible to provide assistance to the Market President, provide general office management, and meeting and event coordination.

 

Essential Duties & Responsibilities:

  • Provides comprehensive support services to the Market President that ensures a professional, responsive and effective experienced with the organization as a whole.
  • Provides sophisticated calendar management. Prioritizes inquires and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to create a cohesive environment.

 

Responsibilities:

  • Requires a thorough knowledge of the Executive’s span of control, as well as, company policies and procedures.
  • Incumbent must be able to safeguard confidential information.
  • Screens and directs incoming calls effectively with considerable use of tact, diplomacy and courtesy.
  • Manages schedule and appointment calendar(s) and maintains sensitivity to changing priorities.
  • Prepares for meetings including agendas, takes minutes of various meetings, and organizing food and room reservations when needed.
  • Schedules all business travel and accommodations. Creates consistent travel itinerary portfolios for reference and be available during travel times to quickly address any changes or cancellations.
  • Reconciles and maintains all expense reports in accordance with Verizon Wireless guidelines.  Processes and submits receipts accurately and on schedule.
  • Composes and prepares error-free correspondence, presentations and spreadsheets.
  • Uses Outlook , Word, Excel and Power Point to produce materials for internal and external meetings and conferences.
  • Greets visitors and accommodate their needs as necessary.
  • Works with other Executive Assistants to coordinate Executive schedules.
  • Performs ad hoc project-related duties as requested.

Qualifications

  • High School Diploma or equivalent; some college preferred.
  • 4+ years administrative experience supporting senior level executives within a comparable corporate environment
  • Displays engaging interpersonal skills including the ability to think and act strategically, provide sound judgment and provide a positive and energetic attitude.
  • Strong communication skills including presentation, persuasion and negotiation skills required in working with guests, vendors and coworkers and including the ability to communicate effectively and remain calm and courteous under pressure.
  • Polished executive assistant with professional maturity and previous corporate environment experience required
  • Ability to effectively interact with senior level management and maintain a high level of confidentiality
  • Ability to successfully prioritize and provide accurate follow up on all issues and correspondence
  • Advanced knowledge and proficiency in Microsoft office suites
