Maxfield Research & Consulting is seeking an Administrative Assistant to join its team.

The Administrative Assistant will provide support to the Maxfield operations in the area of administrative support, documentation and database records management to support the President, VP of Business Development and Research Analysts.

Responsibilities

The Administrative Assistant will provide support to the Maxfield operations in the area of administrative support, documentation and database records management to support the President, VP of Business Development and Research Analysts. Areas of responsibility include but are not limited to:
  • Create a positive customer experience by prompt attention to service requests that also includes communicating completion of assigned tasks. Anticipate and act accordingly to re-occurring customer needs. Establish and maintain effective communication systems with all customers and staff.
  • Provide administrative support for data entry and records maintenance in a timely and professional manner, including storing, retrieving, and integrating information for dissemination to staff and customers. This includes but is not limited to phones, calendar management, processing response to incoming mail, composition of correspondences, expense report reconciliation, administrative support for meetings management, etc. Use computer programs and manage telephone systems accurately and efficiently.
  • Assist staff with document formatting in Word to be sent to clients, prepare Power-Point presentations for clients, prepare filing property brochures, and maintain staff research agenda.
  • Provide documentation support by providing documentation to PHS for all client information, job numbers and client numbers for jobs, maintain report list inventory, maintain jobs list inventory, update and prepare client contact database, g ather information from staff for employee expense reimbursement
  • Provide assistance to clients with administrative questions such as questions regarding proposal and initial payment receipts. Receive checks and make deposits to the bank account.

Qualifications
  • High school diploma or equivalent.
  • Two (2) to Four (4) years of administrative or office support experience.
  • Proficient computer skills with Microsoft Office applications. Demonstrated knowledge of computer software applications, such as desktop publishing, project management, spreadsheets, and database management.
  • Ability to manage multiple tasks/projects and deadlines simultaneously and to identify and resolve exceptions and to interpret data.
  • Excellent interpersonal, communication, and organizational skills.
  • Experience with various office equipment such as copy machines, multi-line phones, postage meter, fax machines, etc.
  • Demonstrated ability to read, write, speak and understand the English language to communicate with all customers.
