We are a Growing Janitorial Company seeking a part time Administrative Assistant at our Altamonte Springs Corporate office. The organization focuses on commercial janitorial and facilities maintenance throughout the entire state of Florida; including airports and government buildings, as well as several other states throughout the country.

THE OPPORTUNITY

The Company is seeking a proactive, results-oriented, highly effective, and hands-on Administrative Assistant for our corporate location. We are currently looking to hire someone part time; M-F 12:00 PM - 5:00 PM, with room for growth in the near future. Seeking an individual looking for a long term position with growing company. It is essential that the individual possess:

  • Strong communication skills - both written and verbal
  • Strong organizational skills
  • Ability to multi-task
  • Strong Microsoft Office, especially Excel skills
  • A self-motivated personality that does not require significant oversight
  • The ability to work outside normal business hours on a as needed basis

REPORTING STRUCTURE
The Administrative Assistant will report directly to the Executive Assistant and CAO.

RESPONSIBILITIES
Will include, but are not limited to the following:

  • Provide administrative and business support to the CAO, Executive Assistant, HR, Billing, Operations and other members of the executive team.
  • Greet and assist visitors, assist with the initial employment application process.
  • Work closely with the Executive Assistant and CAO to ensure weekly project status updates are delivered on time as well as gathering all necessary information for quarterly presentations and reports.
  • Conducts research and administrative support for special projects by preparing data and providing follow-up and response to inquiries.
  • Attends to any administrative requests from other internal departments such as Billing, Operations, Executives, and HR as needed.
  • Responsible for receiving and routing incoming calls. Routes all incoming and outgoing mail, faxes and courier activities.
  • Coordinates all internal employee events and external meetings.
  • File in HR, Accounting, & Executive office.
  • Complete daily assignments in timely manner, maintain calendar.
  • Keep office organized, maintain neatness of lobby, and prepare conference room for meetings.
  • Create company newsletters using online system, and manage Employee Reward Systems, including Employee of The Month.
  • Be willing to wear many hats and assist with a team of 10+, and also assist in a variety of projects.

QUALIFICATIONS/SKILLS REQUIRED

  • Associates Degree with four (4) or more years' experience in a position with primary responsibility of providing administrative support to a senior executive; or an equivalent combination of education, training and experience.
  • Candidate must be highly skilled with MS Office Suite (Word, Excel, PowerPoint, and Outlook).
  • A self-motivated, proactive individuals who will not require significant oversight with a "get it done" approach and attitude.
  • Ability to successfully work with all levels of the organization, from the executive team to the janitorial staff.
  • Creative problem-solving capabilities with a proven record of taking ownership of issues and orchestrating resources to meet goals.
  • Proactive, highly motivated, collaborative and adaptable, with excellent organizational skills including the ability to handle multiple tasks, changing needs, and competing priorities.
  • Excellent verbal and written communication skill and strong interpersonal skills, with a team oriented mindset.
  • He or She must have a positive attitude and be willing to perform a wide range of tasks.
  • Solid Microsoft Office Suite skills including Excel and Word
  • Must be proficient with Mac computers
  • Must be detail oriented, highly organized and able to multi-task
  • Service focused with sense of urgency to both internal and external customers
  • Bilingual in English and Spanish (preferred, but not required)

COMPENSATION
The compensation will be $12-$14/hr depending on experience and qualifications.
