Primary Responsibility
- Answer phones and direct to appropriate staff. (Daily)
- Forward and unforward phones. (Daily)
- Greet visitors and make them feel welcome. (Daily)
- Review On Call Report and copy and save to client and/or CG Activity Log in ClearCare. (Daily)
- Archive all On Call Reports. (Daily)
- Stamp any office mail in outgoing mailbox by noon; also put any outgoing mail in outside mailbox by 3pm daily.
- Scan all compliance and CG personnel files and items to G drive. (Daily)
- Distribute mail and faxes. (Daily)
- Send out email regarding new care consultations; prepare Client Journal and packet. (Daily)
- Straighten and vacuum office at 8:30 am; take out trash at the end of each day. (Daily)
- Run Monthly Motor Vehicle Reports on employee anniversary dates; pass to HR Manager for review.
- Purchase all supplies (Staples and any other items needed by staff). (Daily, Monthly)
- Unload supplies/organize storage room.
- Submit Ideal Image supply requirements to Owner. (Monthly)
- Plan, organize, and clean up Team Appreciation Lunch. (Monthly)
- Send out birthday, sympathy cards, as appropriate.
- Coordinate shredding day. (Monthly)

Secondary Responsibilities:
- Monitor and follow up with CGs who have not signed up for CG training meetings. (3x Annually)
- Organize supplies/handouts and set up/take down materials for all CG training meetings. (3x Annually)
- Input caregiving training hours in ClearCare. (3x Annually)
- Scan CG tests and Sign-In Sheets from CG trainings. (3x Annually)
- Decorate office; organize Holiday Party. (Annually)
- Function as Back-Up On Call Supervisor (only assist On Call Supervisor when necessary); approximately one weekend per week and one weekend per month.
- Back up to various positions in office when staff is out of office; temp will then assist/handle Admin Assistant duties.
- Attend periodic training and other company events.
- Assist with other duties and special projects, as assigned.
