One of our clients, a large non-profit company located in Center City, is looking for an administrative assistant to support their organization. This person will be handling a lot of multi-tasking, calendar management, and project support/coordinating. This is an immediate opening and is looking to interview as soon as possible! * Assist with the preparation and follow up of replacement reserve requests.
* Assist with portfolio wide utility monitoring including tracking of grants and grant contractor requests.
* Manage Asset Management email address and calendar, including but not limited to portfolio wide calendar/tickler of events (inspections, inspection response deadlines, reporting dates, contract renewal, SAM renewal, utility allowance updates, etc).
* Manage code enforcement violations for to ensure timely response.
* Track staff whereabouts and leave schedules and track other HR related documents (performance evaluations, new hire paperwork) to ensure accurate and timely submission to HR.
* Receive, distribute or arrange for pick-up/delivery of incoming and outgoing mail, email, faxes, photocopies, parcels and other materials for Directors of Property Management and Director of Asset Management - maintaining confidentiality at all times.
* Maintain organized property records in written and electronic format including responsibility for the build out of data shared on appropriate department drives.
* Assist with the creation of portfolio reference sheets and review of recorded project documents.
* Coordinate meetings, take meeting minutes and distribute to appropriate parties as needed. Handle refreshment requests for meetings and functions as requested.
* Assist with auditing maintenance performance; to include checking in with residents to determine satisfaction with services provided.
* Assist with quality assurance audits of staff customer service quality; including timeliness of follow for all leasing prospects.
* Assist with compilation of rent comparability studies for all sites.
* Confirm that CPM website information is up to date (including rental amounts and income limits).
* Coordinate the ordering and distribution of all site print materials (nametags, brochures, newsletters, business cards, flyers, letterhead etc) ensuring that all are compliant with ADA and Fair Housing rules and regulations with Communications Manager.
* Understand, promote, and project the corporate mission while performing all duties and responsibilities.
