Job Overview:

The Facilities Administrative Support Team System Administrator provides administrative and technical support to the facilities field, store and central personnel. In addition to FAST duties, this position is responsible for the overall asset management; work planning, system development, software training and reporting using R12 Oracle Enterprise Asset Management and BI Applications. Perform other duties as assigned.

Essential Functions:

• Operates and serves as system administrator to the Macy’s Inc. Purchasing (MFA) and Work Order System (eAM
  • Create, update, and maintain preventative maintenance work steps in eAM – requires periotic consultation with facilities team experts for development, updating and roll out of work steps by equipment
  • Adding, updating user access and roles in eAM
  • Manages work orders in the system, ensure proper creation, planning, update and closure of work orders
  • Enter, modify, update, realign and deactivate assets in eAM as needed
  • Prepare, analyze, and distribute daily, weekly, monthly, ad hoc and annual reports to various departments via Oracle Analytics and Bi Applications
  • Prepares, maintains, and distributes eAM documents, procedures, and training materials
  • Coach, educate and train end users on eAM functions and best practices for performing tasks
  • Serves as a liaison with the MST finance group on system development, enhancements, testing and roll outs

• Maintains and updates an archive file of all work orders, Facilities Administrative Support Team drives, and documents

• Answer Emergency calls from stores via the MACY911 hotline and make emergency notifications to senior management

• Receive emergency and non-emergency phone calls and takes appropriate action

• Perform various FAST assignments, special projects, and other duties as assigned

• Regular, dependable attendance & punctuality

Qualifications:

Education/Experience:

• Bachelor’s degree in computer science, systems analysis or engineering preferred
• Experience in R12 Oracle Enterprise Asset Management Fundamentals (Collection Plans, Maintenance User Workbench, Procurement and Oracle BI Applications) HTML and Forms desired

Communication Skills:

• Ability to read, write and interpret instructional documents/reports
• Excellent written and verbal communication skills
• Ability to communicate with peers, managers and the general public
• Ability to compose concise and professional business communications

Mathematical Skills:

• Strong accuracy in basic math functions

Reasoning Ability:

• Must be able to make sound decisions
• Must be able to work independently with minimal supervision

Physical Demands:

• This position requires regular walking, standing, hearing and talking.
• May occasionally be required to stoop, kneel or crouch.
• Vision ability includes: close vision, color vision, depth perception and ability to adjust focus.
• This position requires prolonged computer sessions

Other Skills:

• Must be able to prioritize and multi-task
• Experience working with Oracle Enterprise Asset Management software E-Business Suite for eAM is highly desired

• Must be proficient with PC, Microsoft Windows applications, Lotus Notes, HTML, Crystal Reports, ASP, JAVA, and/or VB Script. Must have strong typing skills, editing and proof reading skills

• Must be able to remain calm in emergency situations. Must possess a strong sense of urgency, excellent follow-up skills, and the ability to prioritize and multi-task

• Must be self-driven, organized and be able to work in a fast paced team environment

• Strong leadership profile and excellent negotiation skills

Work Hours:

• Ability to work a flexible schedule based on department and store/company needs. Schedules includes either Saturday or Sunday with day off during the week. FAST is open 20 hours a day and 24 hours during the holidays and emergencies, schedules are non-standard hours.
