Southport Church Administrative Assistant Job Description

Understandings

There will be no tolerance of any situation in which an employee is mistreated or disrespected by any other office employee.

HOURS : Tuesday -Friday 15-20 a hours a week

COMPENSATION : Depends on Experience

QUALIFICATIONS: 

  • Must be committed to Southport Church and attend service regularly.
  • College graduate or equivalent work-related experience
  • Minimum of three years experience as an Administrative Assistant
  • Minimum typing 65 WPM with accuracy and transcribing experience
  • Strong computer skills are imperative (MS Windows, Word, Excel, Access, PowerPoint, Outlook)
  • Website management skills preferred
  • Proficiency in the use of standard office tools (copy machine, etc.)
  • Strong organizational skills
  • Have excellent command of English composition and punctuation

PURPOSE OF POSITION: 

Primary function is to oversee all activities of the main church office as well as providing support for Senior Pastor, ministry leads, board members, and church officers. This person would report directly to the Senior Pastor.

JOB DUTIES INCLUDE, BUT ARE NOT LIMITED TO: 

  • Maintenance and organization of reception area.
  • Ordering and maintenance of office supplies and equipment.
  • Organization and maintenance of church calendar (and pastor calendar).
  • Pick up, distribution and dissemination of all mail and correspondence.
  • Screening and routing all incoming calls.
  • Answer mail - correspondence (writing letters), phone calls, etc.
  • Check email and respond.
  • Update and maintain Church Website and Social media platforms.
  • Coordinate scheduling for facility use and for membership and baptisms.
  • Keep accurate membership records (new members, baptisms, weddings, deaths, etc.)
  • Prepare monthly reports for District office as well as Annual Reports.
  • Routine filing of paperwork.
  • Coordinate travel arrangements for speaking engagements.
  • Set up counseling meetings and other appointments.
  • Coordinate with Ministry leaders facility/supplies/ and calendar needs.
  • Notify Pastoral Staff of member hospitalizations, deaths, etc.
  • Prepare, proof, print, and disburse weekly bulletins.
  • Maintain and update all standard forms and ministry literature.
  • Maintain petty cash with accurate records and receipts.

  • Should be willing to travel occasionally as the need arises.

  • Should have a non-lackadaisical attitude with the willingness to seek new information, training, and resources as needed.
  • Should be a self-starter, good at multitasking and prioritizing projects.
  • Should possess strong administrative skills and the ability to work independently without supervision.
