Job Title: OFFICE ASSISTANT
Classification: PART-TIME / NON-EXEMPT
Reports To: GENTLE BARN MANAGER- MISSOURI
GENERAL SUMMARY:
This part-time position will provide administrative support to the Gentle Barn Manager in Missouri while greeting all visitors, volunteers, donors, and special guests in a friendly and professional manner. The Office Assistant will answer and route all incoming calls, respond to email inquiries, provide data entry support, and other duties as assigned.
PRINCIPAL DUTIES & RESPONSIBILITIES:
- Provide administrative support to the Gentle Barn Manager in Missouri
- Welcome all visitors, volunteers, donors, and special guests
- Route all incoming calls and provide answers/referrals to phone inquires
- Monitor and respond daily to email inquires from primary company email address
- Ensure all volunteers sign in/out upon arriving or departing for their shift
- Maintain store inventory and sent to GB main office weekly
- Maintain a safe, clean, and organized reception area
- Assist in the ordering, receiving, stocking, and distribution of office supplies
- Ensure the merchandise storage shed is clean and organized
- Date entry, photocopying, faxing, filing, and collating as needed
- Assist with money deposit and ensure documents are sent to GB main office weekly
- Run the Gentle Barn store on Saturdays and ensure it is cleaned and stocked at the end of your shift
- Schedule and maintain the Gentle Barn Missouri calendar of various groups, birthday parties and private tours
- Provide additional support with group and tours as needed
- Provide information regarding schedule availability
- Confirm events and answer any questions the client may have
- Send thank you cards to past groups, birthday parties, and private tours
QUALIFICATIONS:
- Must possess a high school diploma or equivalent (GED)
- Minimum 2 years of administrative experience and/or training, or equivalent combination of education and experience
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and email programs
- Excellent verbal and written communication skills
- Highly organized with strong attention to detail
- Must be a proactive problem solver
- Capable of being a strategic and creative thinker
- Must be capable of working both independently and as part of a team
- Proven skills in interfacing with a wide range of professionals
- Ability to exemplify both discretion and confidentiality
