POSITION PURPOSE
The HRS Ops Retention Specialist will be responsible for record maintenance and retention of financial transactions by establishing accounts; posting transactions; ensuring legal requirements compliance. This role will partner and collaborate with Salesforce Manager and Salesforce Admin to resolve various types of system issues and open IT Tickets. The Specialist will also be responsible for leading parts of the Salesforce Org Simplification (Release and Roll Out). Responsibilities require working with multiple internal and external partners and systems in order to complete daily activities.

MAJOR TASKS, RESPONSIBILITES AND KEY ACCOUNTABILITIES
  • 35%- Provide A/R support and process improvement; Balance/maintain accurate ledgers; Match invoices with physical checks, wires and credit cards as needed
  • 20%- Maintain cases requesting various functions (i.e., chargebacks, progress payments, updating retail sales, issue additional payments); Maintain vendor inquiry inbox to assist SPs and account teams with detailed research regarding missed, duplicate, or delayed payments; Update banking, address changes, remittance, and entity data
  • 20%- Prepare and maintain daily Cost report to ensure vendor payments; Prepare and maintain kickback report that allows Management to pay Costs only to HRS vendors as well as assist account teams with identifying errors in projects that cause them to not FUP and miss being accounted for in Sales
  • 10%- Train offshore team to resolve discrepancies in posting payments; Partner with TCS team; Coordinate Daily Sales Report and verification; Investigate & resolve any issues offshore team faces in FUP (Finished Unpaid) process; Assist in FUP automation process; Assist account teams by addressing various special needs
  • 10%- Assist with new client setup (final client setup) and vendor onboarding (final vendor onboarding) for HRS
  • 5%- Record check/wire/cc payment in Sales force; Create/audit projects -- Audit invoices for pricing and billing accuracy; Manage aged invoices; Manage customer collection activities -- Perform collections on past due invoices; Document collections activity, progress and resolution
NATURE AND SCOPE
This positions reports to the HRS Operations Manager.
This position has no direct reports.

ENVIRONMENTAL JOB REQUIREMENTS

Environment:
Located in a comfortable indoor area. Any unpleasant conditions would be infrequent and not objectionable.

Travel:
Typically requires overnight travel less than 10% of the time.

Additional Environmental Job Requirements: MINIMUM QUALIFICATIONS
Must be eighteen years of age or older.
Must be legally permitted to work in the United States.

Education Required:
The knowledge, skills and abilities typically acquired through the completion of a associate's degree program or equivalent degree in a field of study related to the job.

Physical Requirements:
Most of the time is spent sitting in a comfortable position and there is frequent opportunity to move about. On rare occasions there may be a need to move or lift light articles.

Preferred Qualifications:
  • 5 years of experience working in accounts payable and receivable, general ledger, payroll and payroll reports
  • Experience working within Salesforce

Knowledge, Skills, Abilities and Competencies:
  • Extensive experience with data entry, record keeping and computer operation
  • Strong knowledge of generally accepted accounting principles and how integration share data
  • Excellent organizational skills, proactive problem solving and analytical skills
  • Strong understanding of business, compliance, dealing with complexity, confidentiality, thoroughness, most importantly, attention to detail -Strong interpersonal skills and customer service skills
  • Ability to communicate clearly and concisely, verbally and in writing at all levels of the organization
  • Proficiency in Microsoft Office, Excel and Access
