Job Description
We are seeking a positive, enthusiastic, personable veterinary receptionist who is self-motivated, is patient and empathetic and communicates well. Strong attention to detail and problem-solving skills are invaluable, including the ability to triage questions from clients concerning their pet’s needs and recording medical history and patient medications.
Some hard skills are required, including knowledge of answering phone calls, taking messages, taking payments for clients, scanning in documents, and basic experience in an office setting. Soft skills are also important including a gentile and professional attitude when speaking with clients and other staff.
The receptionist is the first face a client sees upon entering the clinic and usually the first voice heard upon calling the clinic. The receptionist is typically the first person the client interacts with, and as such presents the professional image of the practice to callers and visitors. The receptionist answers telephones, greets clients and escorts them to waiting rooms, receives and transmits telephone and other messages, updates client business records, prepares billing and collects payments and performs a variety of other related services.
· Greets clients, enters or updates client and pet (animal) information into the practice computer system, and escorts clients and patients to exam rooms
· Follows established policies and procedures in referring clients for immediate treatment of animals when requests are accompanied by descriptions of acute symptoms
· Answers client’s inquiries about hospital policies, or about basic animal care questions as they apply to acupuncture and laser therapy, and answers basic exam and procedure fees questions knowledgeably
· Provides clients/potential clients appropriate forms to complete as needed
· Receives telephone calls and communicates with clients/potential clients efficiently and in a professional and friendly manner
· Screens calls to determine which should be handled by other staff members
· Receives and transmits telephone and fax messages accurately and promptly
· Prepares client invoices and obtains payments after services performed as needed
· Performs over-the-counter selling of specialty merchandise, exercising a technical knowledge of products sold
· Maintains the appearance of the business office
· Understands and carries out oral and written directions
· Maintains positive, cooperative relationships with other employees
· Performs other duties as assigned
