Freshline Produce LLC. is a premium fresh fruit and vegetable processor based in Mahwah, NJ, is a fast-growing organization dedicated to delivering exceptional products and services to our valued customers. We are currently seeking a talented Logistics Coordinator to join our dynamic team. This individual will play a crucial role in executing, directing, and coordinating all transportation matters within the organization.
Position Summary: As a Logistics Coordinator, you will work closely with the Logistics Manager to ensure the smooth and efficient flow of products from preparation to shipping and receiving. You will also be responsible for maintaining compliance with transportation regulations, overseeing documentation, and providing administrative assistance to the logistics team.
Responsibilities:
Your key responsibilities will include but are not limited to:
- Oversee the entire life cycle of products, including preparation, shipping, and receiving
- Prepare accurate and complete bills of lading for shipments
- Collaborate with the in-house sales team to ensure timely and accurate order processing for customers
- Utilize computer systems to scan and track shipments across multiple channels
- Approve time sheets associated with deliveries and pick-ups to ensure accurate record-keeping
- Manage billing and maintain comprehensive records of all incoming and outgoing shipments to and from the warehouse
- Process and manage expense reports related to logistics activities
- Serve as the primary point of contact for drivers, ensuring effective communication and addressing any logistical issues that may arise
- Update shipping confirmations and provide delivery ETA's to all relevant parties
- Provide timely and accurate information regarding orders to management
- Perform any other duties assigned by the management team to support logistics operations effectively
Compliance and Administrative Support Responsibilities:
- Ensure compliance with all transportation and shipping regulations, both local and international
- Verify that all required permits and licenses for transportation operations are up-to-date and in adherence with legal requirements
- Maintain accurate records of shipping and receiving documentation, including bills of lading, customs forms, and certificates of origin
- Collaborate with carriers, freight forwarders, and customs brokers to facilitate seamless and efficient shipment processes
- Conduct regular audits to ensure proper documentation and adherence to compliance standards
- Assist in conducting risk assessments related to logistics operations and identify areas for improvement to mitigate potential compliance issues
- Stay up-to-date with changes in transportation regulations and industry best practices, and effectively communicate relevant updates to the logistics team
- Provide comprehensive administrative support to the logistics team, including scheduling meetings, managing calendars, and arranging travel arrangements
- Process and manage expense reports and invoices related to logistics activities
- Organize and maintain electronic and physical filing systems for logistical documentation, ensuring easy retrieval and access to records
- Assist the logistics manager in data analysis and generating reports on key performance indicators (KPIs) for logistics operations
- Act as a liaison between internal departments and external partners to ensure smooth communication and collaboration
- Assist in the development and implementation of logistics-related training programs for employees to promote compliance awareness
- Handle any ad-hoc administrative tasks and projects assigned by the logistics manager
Requirements:
To be considered for this position, candidates must meet the following requirements:
- Minimum of 2 years of experience in logistics, preferably within the perishable foods industry
- Strong attention to detail and accuracy in all aspects of work
- Excellent interpersonal and communication skills to effectively interact with team members and external partners
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Good project management and communication skills
- Ability to multitask, prioritize, and manage time effectively in a fast-paced environment
- Aptitude to work independently on daily tasks, demonstrating reliability and self-motivation
- Capacity to critically analyze problems and generate possible solutions independently and cooperatively
