POSITION OVERVIEW
AITC is seeking an Operations Administrative Assistant for the Program Management Office (PMO) providing a broad range of administrative support functions.
RESPONSIBILITIES / DUTIES
* Provides a broad range of administrative support functions for management which includes, but is not limited to coordinating office communications, tracking budgets, purchasing, scheduling, workflow, and a myriad of associated duties.
* Serves as a primary point of contact for office communications. Prioritizes, composes, and disseminates written and oral information to personnel, the public, and other internal and external customers as directed. Responds to routine inquiries.
* Coordinates, maintains, and creates various events, schedules, and calendars. Makes travel arrangements and coordinates large group meetings.
* Handles or assists with financial transactions and control procedures. Processes expenditures, purchases, budget transfers and other actions. Develops and analyzes financial reports and maintains selected fiscal records.
* Coordinates facilities requests and organizational needs.
* Provides limited logistical support, ordering, tracking etc.
* Takes and transcribes minutes of meetings; distributes agendas, minutes, and other materials to attendees.
* Maintains confidential files and records for assigned area of responsibility.
* Additional administrative duties as assigned.
MINIMUM REQUIREMENTS
* Requires 4-6 years of related experience.
* High School Diploma or GED
* Must be a US citizen.
* Able to work Overtime as required.
* Must be available to travel as required.
PREFERRED SKILLS/KNOWLEDGE
* Associate degree in a related field
* SECRET Clearance
* Experience with collective bargaining agreements.
* Possess strong communication skills and attention to detail.
* Able to work independently and with a team and interact professionally with all levels of an organization.
* Experience in MS Office software.
PHYSICAL DEMANDS
* Predominantly indoors in normal office environment.
* Use repetitive motion.
* Substantial movements (motions) of the wrists, hands, and/or fingers.
* Must be able to speak, write, read, and understand English.
* Frequently work at fast pace with unscheduled interruptions.
* Must have visual acuity.
* Must be able to lift up-to 10 pounds and walk short distances.
