Job Description

Day One is looking for an experienced Operations Manager for our Residential Youth Substance Use Treatment Program. This supervisory level position requires a strong leader with the flexibility to quickly prioritize and an openness to learning.

General Summary

Provides leadership for staff and clients in the residential milieu. Coordinates and manages daily activities house routines. Ensures prompt scheduling of client appointments. Coordinates residential staff scheduling. Oversees medication management, initial screening, reporting, and record-keeping functions. Provides house coverage as needed.

Essential Duties & Responsibilities

  • Provides leadership as the operational “face” of the facility for all constituents, including clients, staff, family members, and providers.
  • Directly supervises all residential care associates, including formal and informal supervision, in coordination with the residential staff trainer.
  • Responsible for training staff in TIER and supervising them to adhere to the TIER program. Provides support for care associates in managing behaviors and meeting expectations.
  • Assists the clinical team with admissions. Works collaboratively with the clinical team to provide client support and care in the milieu.
  • Performs or delegates responsibilities such as distributing mail, responding to inquiries, providing supplies for staff, coordinating maintenance of equipment and vehicles, and arranging coordination of care with external providers.
  • Responsible for staff schedule to provide adequate coverage, covering open shifts as needed.
  • Assists clients and staff with day-to-day operations, including planning activities and special events.
  • Functions as the purchasing agent for the residence.
  • Supervises or delegates menu planning and nutrition, weekly grocery shopping with residents, and tracking food inventory and donations.
  • Works with DHHS to enroll clients in MaineCare and to procure food stamp benefits.
  • Acts as the point person for technology training and support for IT functions.
  • Supervises and assists clients with daily living skills as needed.
  • Dispenses medications and maintains accurate medical records.

Requirements and Skills Needed for Position:

  • Demonstrates competence in carrying out office functions and record keeping.
  • At least two years of administrative experience or equivalent.
  • Strong communication skills (verbal and written); ability to communicate effectively over the phone and maintain a high level of public relations with other service providers and parents; ability to interview clients and staff.
  • Computer literacy with standard software applications.
  • Ability to function autonomously and as a team member.
  • Ability to cope with stressful situations and to interact cordially with clients and co-workers.
  • Experience or willingness to learn crisis intervention and/or management skills.
  • Possess a valid driver’s license and periodically transport clients.
  • Obtain CRMA license.
  • Available to work weekends, holidays, or evenings if needed in an emergency or to offer staff training and support.
