We currently operate six high-tech greenhouse farms, with four new regional salad greenhouse hubs breaking ground to begin opening in 2024. BrightFarms' fresh lettuce options, from classic greens to crunchy mixes and salad kits, are available in more than 3,700 retail stores across the East Coast and Midwest.

The Project Coordinator for the Launch Team is primarily responsible for coordinating work and travel schedules, managing the playbook execution and tasks, placing orders for equipment and supplies, and managing invoices and receipts. They will ensure the Launch Team are at the sites when required, and coordinate the time-off requests. They will be engaged in working with both internal and external stakeholders and project managers for the Commissioning, Validation, and Start-up of equipment and processes at each site. They must be able to travel occasionally to support the opening of the new greenhouse sites and assist in the development and deployment of strategies to meet the business objectives. This position reports to the Launch Team Manager.

Specifically, you will:

  • Live and lead a safety-first mentality and ensuring safe practices
  • Coordinate the allocation of project resources to ensure the project team has what is needed at the right time
  • Prepare status reports and other related project planning and controls documentation, including the collection, analysis, and presentation of regular information from major stakeholders
  • Use project management tools to monitor planned versus actual progress
  • Ensure all commercial & financial reporting during the project phases, signalizing issues, and opportunities
  • Schedule stakeholder meetings, documents and generate reports
  • Assign team members to site projects/tasks weekly per project timelines
  • Plan, request, and monitor team availability
  • Organize workflow and schedules based on priorities
  • Maintain calendars for Launch Team members for each site
  • Prepare team utilization reports and forecasts for leadership
  • Answer and respond to phone calls or emails to confirm plans and input data into company systems
  • Assist with other duties as required

The ideal candidate:

  • Has a High School diploma or GED
  • Will have at least 3 years previous administrative experience with project coordination, planning, or similar role
  • Has Excellent analytical and organizational skills
  • Has a proven history of driving results, engaging others, and consistent accountability
  • Can develop and maintain professional relationships with colleagues
  • Can to multi-task, incorporating good organizational skills and flexibility, to prioritize work and deliver maximum business value
  • Has strong prioritization skills
  • Can operate in a complex rapidly changing business environment with typically tight schedules and demanding targets
  • Intermediate to advanced math skills and experience working with data
  • Computer competency for data entry and the production of reports and schedules
  • utilizing Microsoft Office Suite and Smartsheet (Outlook, Word, Excel, PowerPoint, Access)
  • Willingness to travel up to 10% of the time during the construction and set-up of the new sites

Preferred Qualifications

  • Must be extremely dependable
  • knowledge of project management tools such as MS Project, Excel, cloud-based PM software
  • Must have excellent time management abilities.
  • Excellent communication skills and strong collaborator with cross-functional relationships
  • Initiative-taking and able to work with minimal supervision.
  • Working knowledge of warehouse and/or construction terminology (preferred)
  • Good people skills
  • Able to collaborate and foster idea generation and teamwork.
