Administrative Assistant job details include:

Starting at $25/hr.

Schedule: 8:00am - 4:30pm

  • Organizes, orders, and maintains general office supplies inventory and storage areas for location.
  • Responds to and resolves administrative inquiries and questions.
  • Manages reception area, answers and transfers phone calls, screens, welcomes, and directs visitors and clients.
  • Manages USPS mail services for the building. Receives, sorts, and routes mail. Prepares outgoing mail ensuring that the required postage is affixed. Deposits mail on nightly basis.
  • Assists with UPS/FedEx shipments and delivery processing within the building.
  • Organizes and maintains mailroom supplies, postage, and maintenance and repair of equipment as needed.
  • Manages document storage process, files, and records storage in accordance with the record retention policy. Manages relationship with records storage vendor.
  • Coordinates local meetings and large conference room meetings, and appointments as needed. Orders lunches for conferences, meetings, training sessions, interviews.
  • Provides administrative support to facilities teams including, but not limited to, purchase order and repetitive spend Supplier setup, entering requisitions and tracking purchase orders status.
  • Creates, revises, and maintains standard operating procedures on all assigned duties.
  • Performs other related duties as assigned.

Qualified candidates will a high school diploma or GED, 1-3 years of professional work, computer skills, and excellent verbal and written communication skills. We are seeking someone who is detail oriented, able to work independently in a fast paced environment, record keep and filing, and be flexible and adaptable.
