An international trading company is seeking a Bilingual Japanese/English Executive Assistant to join their team in San Jose, CA. This position is responsible for planning and carrying out all administrative and operational activities for the company, as well as providing heavy translation. An associate degree or higher, 5 years of office administrative experience, ability to travel, and the ability to speak, read, and write Japanese are required. This is a full-time, exempt, hybrid position with a bonus, excellent benefits and 401k. [Work schedule: 8:00-5:00] **Company cannot currently support Visa**
Bilingual Japanese/English Executive Assistant Duties:
-Be the President’s personal timekeeper, orchestrating their schedule and planning essential travels, including scheduling meetings, appointments, and making travel (including domestic and international) arrangements.
-Plan, coordinate, and lead meetings effectively. Take minutes of the meetings and distribute them to the related parties.
-Act as the liaison between President and other executives, clients, and stakeholders to ensure consistent communication and decision-making at the proper time.
-Carry out consecutive interpretation between Japanese English for the President during meetings with clients and employees.
-Lots of heavy translation work with written communications such as emails, documents, PowerPoint slides, etc. between Japanese-English.
-Prepare, reconcile, and submit expense reports on behalf of the President.
-Prepare cost estimates and plans, while providing necessary reporting, documentation, and financial assessments.
-Coordinate with the company’s accounting department for bill processing, including obtaining signatures for related processes (i.e., Debit Notes) from the President and sending the signed documents to related parties.
-Work with other employees in internal audits to provide evidence and to answer questions as necessary.
-Will need to travel for work.
Bilingual Japanese/English Executive Assistant Skills:
-Must be able to speak, read, and write Japanese
-Must have 5 years of office administration experience
-Must have an associate degree or higher
-Must be able to travel frequently domestically
-Excellent written and verbal communication skills
-Strong computer skills, including Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
