Operations Coordinator- Freight Invoice Audit

Location: Onsite- Laredo, TX

Schedule: Monday-Friday 7AM-4PM

What work will you perform?

Join our dynamic team as an Operations Coordinator, where you'll play a pivotal role in ensuring the seamless processing of carrier invoices and maintaining strong relationships with our Mexican carrier partners. This position is at the heart of our commitment to exceptional customer service, requiring you to engage with carriers, Owner/Operators, agents, and other stakeholders to ensure accurate invoicing and timely payments. As the ideal candidate, you'll demonstrate sound business judgment, the ability to make informed decisions, and a knack for both independent work and collaborative efforts with team members. Moreover, your role will encompass not only freight bill auditing but also managing crucial administrative and clerical tasks vital for the smooth functioning of our operations.

Essential Responsibilities:

  • Processing accounts and incoming payments in compliance with financial policies and procedures.
  • Serve as initial point of contact for agents and Mexican carrier partner payables.
  • Provide support and perform administrative oversight on managed accounts requiring complete knowledge of departmental policies and procedures.
  • Performing day to day financial transactions, including verifying, classifying, and recording accounts payable data
  • Ensure agents are properly trained & aware of Landstar Mexico operations, processes and procedures designed to help manage their shipment workflow and carrier payables.
  • Reconcile the accounts payable ledger to ensure that all Mexican carrier invoices and payments are accounted for and properly posted.
  • Facilitate payment of invoices due by sending agent reminders and contacting Mexican carriers

Required Minimum Experience and Education:

  • Bilingual Spanish
  • 1 year experience in Accounting

Preferred Experience and Education:

  • 1 year experience with Transportation/Logistics
  • 1 year experience in Freight Invoice Auditing
  • 1 year customer service answering a switchboard.

Knowledge, Skills, and Abilities:

  • Solid understanding of basic bookkeeping and accounting payable principles
  • Bilingual (Spanish & English)
  • Must be capable of managing time effectively and multi-tasking as necessary.
  • Excellent communication and listening skills.
  • Strong problem-solving skills.
  • Ability to multi-task and make educated decisions under pressure.
  • Strong PC skills (Word, Excel)
  • Ability to work under pressure.
  • Data entry skills along with a knack for numbers
  • Hands-on experience with spreadsheets and proprietary software
  • High degree of accuracy and attention to detail
