Job Summary:

This role provides administrative support to the Company's General Counsel. As the Legal Executive Assistant, you have experience supporting General Counsels previously and have general internal legal department support experience. You will assist with the management of litigation and claims, interactions with regulatory and legislative authorities and outside counsel, including coordinating document production and preparing correspondence.

Minimum Qualifications:

  • High School Diploma or GED Equivalent

  • 6+ years of relevant work experience

Knowledge, Skills, and Abilities:

  • Moderate to advanced acumen with Microsoft Office Suite (including PowerPoint)

  • Outstanding verbal and written communication skills, including grammar and proofreading

  • Strong attention to detail with an emphasis on organization and prioritization skills

  • This position requires regular and predictable on-site attendance and the ability to work the particular shift and/or schedule to which you are assigned, as well as additional hours as needed.

Preferred Qualifications:

  • Bachelor's Degree

  • Paralegal Certification

  • Experience assisting a General Counsel or Corporate Secretary

  • Prior experience working with cloud-based platforms to manage entities, legal billing and matter management, and contract lifecyle management

Essential Duties and Responsibilities:

  • Manage the General Counsel's calendar, including scheduling appointments and providing itineraries

  • Prepare reports, correspondence, proposals, meeting materials, and presentations; organize, review, edit, and distribute communications; receive and screen phone calls, visitors, and mail

  • Assist General Counsel with outside legal budget management, including oversight of external counsel billing practices, initial review of law firm invoices, and coordinate the approval and timely payment of vendor invoices; compile and submit expense reports

  • Maintain contracts and NDAs, including organizing and indexing each file and developing and updating contract tracking spreadsheets or databases

  • Assist with the management of litigation and claims, interactions with regulatory and legislative authorities and outside counsel, including coordinating document production and preparing correspondence

  • Maintain entity records and database

  • Issue, track litigation holds

  • Monitor and assist with timely filing of entity reports to states, such as annual reports and franchise taxes

  • Monitor submissions to ethics hotline and alert appropriate persons to actions needed

  • Manage meeting planning, including: scheduling meetings and preparing agendas; anticipate and coordinate needs for meeting such as logistics, equipment, catering, etc.; on occasion, may need to take and distribute meeting minutes

  • Coordinate all aspects of travel (flights, transportation, hotels, directions, etc.), including international travel

  • Handle highly confidential and critical information

  • Interface with senior members of management and board members
