Purpose of the Job

The Legal Assistant's primary responsibility is to serve as an assistant to the General Counsel of Truliant Federal Credit Union providing high-level, comprehensive administrative support in carrying out legal and compliance responsibilities of the Credit Union.

Essential Functions and Responsibilities

  • Provides administrative support to the General Counsel which includes completing expense reports, setting up meetings and WebEx, reserving conference rooms, coordinating travel arrangements, registering for conferences, webinars, etc., assisting with updating insurance licenses, annual report filings, CUSO registrations, trademark renewals, and monitoring other important legal deadlines and filing requirements.
  • Proofs and edits various legal documents, contracts, agreements, letters, documents, power points, forms, etc. for accuracy, clarity, grammar and completeness; provides approval/disapproval of letter requests to members from the member financial centers and the member contact center.
  • Consults with General Counsel on internal policies and procedures and provides the same to General Counsel upon request. Maintains an extensive working knowledge of internal policies and procedures and where to locate them.
  • Processes subpoenas, summons and search warrants in accordance with applicable law, which involves confidentiality and extensive knowledge of the DNA/Core system, document locations, etc.
  • Works closely with the Paralegal to impart Legal Assistant's extensive working knowledge of Credit Union's internal policies and procedures and subpoena processing practice to Paralegal.
  • Composes letters and emails that are sometimes confidential; prepares non-disclosure and confidentiality agreements and drafts contracts as needed.
  • Assists with the preparation and revision of documents, forms, spreadsheets, procedures, policies, etc.
  • Answers daily questions from operations on trusts, deceased accounts, powers of attorney, payable on death beneficiaries, account opening and closing policies and procedures, and other legal aspects of day-to-day operations, which involves reviewing documents and researching accounts.
  • Administers the Medallion program of the Securities Transfer Association Medallion Program (STAMP) at the Credit Union. Provides instructions and answers on use of the Medallion STAMP. Keeps track of certified users at each member financial center, making sure the required procedures needed are complied with as certified users transfer from one member financial center to another, move to other departments, or leave the Credit Union. Orders and destroys Medallion Stamps as needed.
  • Assists General Counsel and the Chief Financial Officer with all lines of insurance where the Credit Union is the insured, which involves submitting insurance coverage additions/deletions in reference to leased and owned Credit Union properties, company vehicles and foreclosed properties, handling the invoice and payment process, submitting insurance claims as needed, requesting certificates of insurance for landlords, special events, etc., compiling information needed to complete the yearly insurance renewal questionnaire, and preparing spreadsheets for premium comparisons, etc. as needed.
  • Researches member account history and performs document research upon request by General Counsel.
  • Processes the IRS name/TIN mismatch notifications received by the Credit Union, which involves extensive research to determine discrepancies, making corrections, sending correspondence to members, following up and adding backup withholdings as needed.
  • Processes monthly e-OSCAR notifications; obtains monthly pre-foreclosure invoices pertaining to the NC State House Foreclosure Prevention Project, requests approval for payment and ensures timely processing.
  • Assists with processing tax levies and garnishments as needed.
  • Serves as the legal and compliance back up in the Truliant Library Process Control Workflow by reviewing and ensuring the legitimacy and accuracy of new documents and changes to existing documents prior to implementation.
  • Maintains inventory of supplies, orders, and files as needed.

  • Must have excellent verbal and written communication skills in English, both verbal and written, including presentation, persuasion and negotiation
  • Must have advanced computer skills, including MS office applications (Outlook, Word, Excel, PowerPoint, etc.)
  • Must have ability to create presentations, forms, charts, graphs, databases, and spreadsheets
  • Must be able to maintain a high degree of confidentiality
  • Must have superior interpersonal skills, ability to get along with diverse workgroups/populations; collaborative, tactful, mature, flexible, compassionate
  • Must be resourceful and well organized with strong attention to detail and provide systematic and dependable follow-up
  • Must have good reasoning abilities and sound judgment
  • Must have the ability to research and analyze various types of data/information
  • Must be flexible and able to shift resources and priorities as required and remain calm under pressure
  • Must have ability to think and act strategically, provide sound judgment, and anticipate needs
  • Must be able to manage multiple tasks concurrently
  • Must be able to work in a general office environment
  • Should possess a strong commitment to providing excellent service to Truliant's member-owners and employees

Physical Requirements

  • Occasional standing, walking, bending, and stooping required
  • Must be able to sit at a desk for long periods of time and use a computer
  • Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds

Education and Background

  • Bachelor's degree, Associate's degree or equivalent preferred
  • A minimum of 3 years previous law office experience preferred
  • Financial Services experience preferred
  • Certified Public Notary preferred
