Job Opening AD Administrative Coordinator Responsibilities: Office Administration: Proficient in performing a wide range of office tasks including managing correspondence, maintaining filing systems, handling incoming/outgoing calls, and organizing office supplies. Scheduling and Coordination: Skilled in scheduling meetings, appointments, and events efficiently using various tools and software platforms. Capable of coordinating logistics, sending invitations, and ensuring smooth execution of scheduled activities. Volunteer Program Assistance: Able to provide administrative support to volunteer programs, including recruiting, onboarding, background checks and coordinating volunteer schedules. Proficient in maintaining volunteer databases, communicating with volunteers, and facilitating their involvement in organizational activities. Communication Skills: Strong verbal and written communication skills to interact effectively with colleagues, volunteers, and external stakeholders. Capable of drafting professional correspondence, composing meeting agendas, and communicating important information clearly and concisely. Support the Accounts Payable process by managing the accounts payable process using Salesforce and Quickbooks. Record pledges and contributions in Donor Database and reconcile to Quickbooks Assist with month-end closing processes, including credit card and bank account reconciliations. Provide support during the annual financial audit, as needed. Qualifications: One to three years of relevant experience of office administration, scheduling, accounts payable or related field. Associate's or Bachelors Degree preferred or experience equivalent. Attention to Detail: Meticulous attention to detail to ensure accuracy in data entry, document preparation, and financial transactions. Ability to identify errors and take corrective actions. Problem-Solving Abilities: Resourceful problem-solving skills to address challenges in office operations, scheduling, and volunteer management. Capacity to propose innovative solutions to enhance efficiency. Technology Proficiency: Competency in using office software applications such as Microsoft Office Suite, scheduling tools, accounting software (e.g., QuickBooks), and volunteer management platforms. Team Collaboration Skills: Strong collaborative skills to work effectively as part of a team, supporting colleagues, and contributing to a positive work environment. Willingness to collaborate across departments and assist coworkers. Additionally, specific experience with the mentioned tasks related to accounts payable processes, donor databases, reconciliations, and financial audits would be advantageous.
