DEPARTMENT: Revenue & Sales

REPORTS TO: General Manager


SUMMARY:


Responsible for soliciting event business, achieving sales and revenue goals by implementing sales programs in assigned markets. Represents resort to guest throughout all stages of guest’s stay. Responsible for the coordination and planning of conference events/retreats, weddings, and group bookings. Coordinates with other departments on required service and activities to maximize guest satisfaction and overall profitability. Maintain interdepartmental lines of communication and interact on a daily basis with guests and resort staff.


EDUCATION and/or EXPERIENCE:


  • Previous hotel or resort sales experience required.
  • Meeting planning, experience writing bids and sales contracts preferred.
  • Advanced skills in Microsoft applications and sales-based software desirable.

ESSENTIAL DUTIES:


  • Aggressively solicits new contacts and relationships as required to meet goals including cold calling new clients as well as follow-up with existing clients.
  • Coordinates all aspects of group conferences: schedules meetings; reserves AV equipment; provides advice on meal plans and hors d’oeuvres menu choices and times; schedules golf course tee-times; contacts entertainers & photographers, etc. Follows through, ensuring that tasks are completed in a professional, timely and satisfactory manner. Settles meal passes and guest accounts as needed.
  • After contract is signed, this position is the primary contact between on-site meeting representative and Resort.
  • Manages contract to ensure appropriate concessions are given and additional request are charged appropriately.
  • Maintains accurate client information, sales files, and uses software systems to insure consistent updates for all active and non-active accounts.
  • Advocates for the group representative while on-site. Greets meeting planners at beginning of conference or event, ensuring everything meets their expectations. Assist clients with determining any last-minute changes and discusses arrangements for the day. Periodically checks with meeting throughout the event.
  • Works to increase sales, maximize space, retain resort clients, rebooking return business and upsell to existing clients.
  • Meets weekly to discuss strategic planning for all upcoming conferences/events at weekly Pre-Conference meetings.
  • Negotiates needs for clients with other departments to provide top quality service to clients and maximum revenue to resort.
  • Contacts guests while in-house to promote goodwill and foster additional business, repeat bookings or referrals. Helps events planning when appropriate to handle guests request and problems as well as responding to their individual needs.
  • Maintains knowledge for describing different types of units, understanding group functions in reservations systems, front desk, and housekeeping, along with other resort offerings including activities.
  • May attend various tradeshows and networking events to represent the resort and promote sales.
  • Tracks trends in the industry and proposes recommendations for competitive services.
  • Foster positive working relationships and communication with all departments.
  • Any and all other duties as assigned.
