Description

Position Summary:

The Administrative Assistant provides the Alzheimer's Association, Local Chapter and Regional staff with essential administrative support. This includes support to the Executive Director, Program Director, and other staff as needed. Additionally, this person is responsible for providing support in the management of chapter volunteers, events, and social media.

Responsibilities

Essential functions and responsibilities include, but are not limited to:

External Contact:

  • Monitor general email box and voice mail and route inquiries according to need. Respond directly as appropriate.

Finance and Reporting:

  • Process payment request forms and file documentation.
  • Manager account payable data and tracking invoices to resolution.
  • Assist with processing chapter and regional donations, including general gifts, tributes, and all events.
  • Compile and extract data from data management systems for program, grant, and development reports.
  • Assist staff with monthly expense reporting and submission.

Office Management:

  • Maintain brochure and office supply inventory and manage budgets.
  • Potentially support volunteer database and necessary documentation.
  • Train and provide guidance to office volunteers and interns, and manage projects for front office volunteers.

Administrative Support:

  • Assist Executive Director with quarterly Board of Directors meeting arrangements. Board correspondence, and maintenance of board records.
  • Support tracking and reporting for Strategic Implementation Plan metrics and grants.
  • Assist the Executive Director and Program Director as needed with scheduling meetings, distributing minutes and related materials.
  • Assist the Program Director in supporting Community Representatives and Community Educators.
  • Logistical support for the Walk to End Alzheimer's, The Longest Day and other chapter events.
  • Assist with Chapter and Regional social media content creation, graphics, and posting as needed
  • Assist with general correspondence and other duties as assigned.

Qualifications:

  • Associate's degree or equivalent experience required. Bachelor's degree preferred.
  • Two years or more of experience as an administrative assistant, office manager, or similar.

Knowledge, Skills and Abilities:

  • Proficient written and verbal communication skills
  • Experience in revenue processing or bookkeeping preferred
  • Google Workspace/MS Office proficiency and ability to master CRM and other applications as necessary.
  • Graphic design background or knowledge of Canva design platform a plus
  • Organizational and problem solving skills.
  • Work effectively with volunteers, staff, external contacts and diverse populations.
  • Self-sufficient worker with strong initiative and intuition.
  • Ability to prioritize and manage multiple priorities and maintain detailed records.
  • Communicate effectively in person, in writing, and electronically to a variety of audiences.
  • Analyze information and make timely, appropriate decisions.
  • Comfortable with display of emotion and ability to respond appropriately.
  • Ability to lift and move up to 35 pounds.
  • Occasional travel by car to attend meetings within chapter territory. Mileage reimbursed. While most travel is same day, occasional overnight or air travel may be required.
  • Must possess valid driver's license, good driving record, access to reliable vehicle and proof of automobile insurance.
