Job Summary

The Office Assistant provides clerical and administrative support to the Healthy Living Coordinator in support of the Drug-Free Communities grant for Children's Coalition of Northeast Louisiana at our Farmerville LA location.

Essential Functions

  • Monitor incoming emails and answer or forward them as required
  • Prepare outgoing mail for distribution
  • Maintain office filing and storage systems
  • Update and maintain databases such as mailing lists, contact lists, and client information
  • Coordinate and organize appointments and meetings by sending invitation emails and creating agenda and sign-in sheets
  • Assist with event planning and implementation
  • Monitor and maintain office supplies
  • Ensure office equipment is properly maintained and serviced
  • Perform work-related errands as requested
  • Other duties as assigned; the scope of the job may change as necessitated by business demands

Minimum Qualifications/Requirements

  • High school diploma or GED
  • Ability to write professional correspondence
  • Telephone etiquette
  • Great customer service skills
  • Well-organized
  • Motivated and able to work independently
  • Ability to manage time, work without direct supervision

Working conditions

  • Work is typically in an office setting.
  • Work hours are typically during normal business hours of 8:00 am - 4:30 pm. Some evening and weekend work may be required for events.
  • Noise level in work environment may be low to moderate.
  • Travel by car, bus, airplane or train may be required associated with attendance at conferences, meetings and other duties carried out at distant locations in and out of state and in some cases where overnight travel may be required.

Physical requirements

  • May be required to lift up to 40 pounds.
