Job Title: Trainer – Case Management System

Department: Finance

Reports To: Product Manager – Case Management System

Supervises: N/A

FLSA Status: Exempt

Pay Grade: E4

Job Type: Regular, Full-Time

General Functions:

The Trainer - Case Management System works as a key member of the Case Management System support team to ensure all clinicians and staff are trained in the use of the Case Management System. This includes preparing and delivering new employee training, refresher training, and training related to system changes or enhancements. This position works with other department and program subject matter experts to develop curricula that meet the needs of Case Management System users, and is representative of CITC’s Core Values. This role must be able to engage learners in the subject matter via multiple communication platforms.

Duties and Responsibilities:

  • Prepare and deliver new employee and refresher training on the Case Management System.
  • Create learning objectives, agendas, materials, electronic presentations, attendee handouts, instructor lesson guides, assessments, evaluations and certificates of completion.
  • Work with the program teams to schedule orientation and training including activities, presenters, conference rooms, and equipment; advertise events and coordinate registration.
  • Provide refresher training for existing user groups who need additional assistance.
  • Benchmark best practices and deliver Case Management System orientation and training to employees using appropriate methods, standards, and adult learning strategies.
  • Record, track and report Case Management System orientation and training attendance using assigned method and verify completion.
  • Build collaborative relationships and participate in committee and programmatic work to promote system efficiencies and effectiveness.
  • Participate in continuing education and training as necessary to meet changing program needs and maintain necessary professional skills.
  • Determine employee Case Management System orientation and training needs by conducting research, evaluation, measurement, consulting with supervisors, surveying employees, employee assessments, and aligning with the organization’s strategic plan.
  • Design, develop, implement, conduct, measure, and analyze Case Management System orientation and training programs, including instructor-led and online delivery.
  • Work with super users to serve as trainers for the Case Management System by providing Train-the-Trainer training, and assist with development and delivery.
  • Work with the Case Management System support team, IT, and the vendor to update training materials and deliver training for system changes when needed.
  • Provide end users support for the Case Management System and assist in reporting and communicating problems and requests for change to the support and change process.
  • Promote system security and participant confidentiality and help to ensure compliance.
  • Participate in special projects as needed.
  • Perform other duties as assigned.

Job Responsibilities Related to Participant Privacy:

  • Employee is expected to actively participate in CITC privacy training and to protect the privacy of participant information in accordance with CITC's privacy policies, procedures and practices, as required by federal and state law. Failure to comply with CITC's policies and procedures on participant privacy may result in disciplinary action up to and including termination of employment.
  • Employee may access protected health information and other participant information only to the extent necessary to complete job duties. Employee may only share such information on a need to know basis with others who have job responsibilities related to treatment, payment, or other CITC operations.
  • Employee is encouraged and expected to report, without the threat of retaliation, any concerns regarding CITC's policies and procedures on participant privacy and any observed practices in violation of the policy to the designated Privacy Officer.

  • Skill in researching, developing, writing, delivering, evaluating and assessing instructor-led and online orientation and training.
  • Ability to measure, compile and analyze data and identify Case Management System orientation and training needs.
  • Skill in applying the systematic approach to Case Management System orientation and training.
  • Demonstrated ability to make decisions in a team environment and work independently with minimal supervision,
  • Strong knowledge of Microsoft Office products.
  • Strong oral and written communication skills.

Minimum Qualifications:

  • Associates degree in Education or a related field. Relevant work experience may substitute for the education requirement on a year-for-year basis.
  • One (1) year of training related experience.
  • Advanced problem-solving skills.
  • Knowledge of Case Management Systems, workflows and tool administration (eg: Apricot, etc.) .

Preferred Qualifications:

  • Bachelor’s degree in Education or related field.
  • Experience with use of the Apricot Case Management System.
  • Three (3) years of training related experience.
  • Experience working in a program delivering case management services.
  • Experience working with SAAS applications.

Physical Requirements:

  • Primarily works in an office setting, with extended periods of time at a desk and on a computer.
