Full time ~ Non-Exempt position ($28.00 - $30.00 per Hour)

SUMMARY:

Mutual Housing Management provides professional property management services to Mutual Housing California’s affordable multifamily properties. The mission of Mutual Housing Management is to be an exceptional steward of Mutual Housing’s portfolio of multifamily housing properties to support long-term sustainability.


Under the direction of the Associate Director of Property Operations (ADPO), the Maintenance Lead is responsible for providing multi-site portfolio coverage for vacant or absent Maintenance positions while monitoring day-to-day operations of existing portfolio. They must efficiently and effectively schedule property-level work order requests, adhering to maintenance priorities. While providing quality work standards, they must also foster favorable vendor relations.


The Maintenance Lead acts in a leadership compacity and is ultimately responsible for: the oversight of the portfolio or property’s sustainability including preventative maintenance programs; obtaining and analyzing bids; conforming to property maintenance budget; generating and processing work orders on the property(ies); and may participate in the training of entry-level staff.

In the absence of a Janitor, a Maintenance Lead assigned to the property performs custodial tasks, maintaining the community’s sanitary and visual appeal and ensures the completion of unit turns.


ESSENTIAL DUTIES AND RESPONSIBILTIES:

  • Efficiently and effectively schedules property-level work order requests, adhering to maintenance priorities.
  • Identifies and establishes efficiencies surrounding property standards and health and safety measures.
  • Works closely with vendors to outsource, network, and negotiates services and pricing.
  • Ensures solar systems are turned on and operational.
  • Performs plumbing, irrigation, and other work such as but not limited to: screens, garbage disposals, fixtures, appliances, toilets, sinks, grout, blinds, locks, etc.; paints interior and exterior of all buildings; performs carpentry work such as: fitting doors; freeing windows; fencing, etc.
  • Supports the annual budget preparation and offers recommendations on community needs and capital improvements.
  • Either personally or through supervision, ensures dumpsters are in position for garbage pick-up at the appropriate times, replaces dumpsters to enclosures, keeps enclosures and dumpsters clean, free of bulky items and in a sanitary condition and reflects a favorable curb appeal.
  • Identifies and assesses problems and needs and communicates these to direct supervisor and/or Property Manager. Maintains MSDS Binders; stays up to date on OSHA laws.
  • Comprises and maintains a list of who to contact when emergencies arise and builds out the vendor list to ensure competitiveness and best pricing.
  • When providing coverage for maintenance vacations or extended absences; Maintains amiable relationships with all residents; is always professional and polite. Can handle complaints/adversity with tact and diplomacy. Responds to all requests for maintenance in a uniform and professional manner. Is understanding of and sensitive to residents’ cultural background, economic status, those with special needs, and adheres to Equal Housing Opportunity requirements.
  • Responds timely to after hour emergency maintenance calls and provides emergency maintenance evenings, weekends, and holiday coverage of each property within the portfolio.
  • Maintains knowledge of electrical, water and gas meter shutoffs, all building and fixture shutoffs, sewer cleanouts and maps and diagrams of the property(ies). In conjunction with the Property Manager, maintains inventory of, places orders for, picks up and stores supplies, and appropriately uses these materials for maintenance and repair.
  • Inspects portfolio exteriors (including walls, windows, patios, fences, outdoor furniture, playground equipment, grounds, trees, driveways, signage, lighting, etc.) and common areas on a daily and/or weekly basis, performing or scheduling repairs and janitorial assistance as needed. Assists and/or conducts scheduled annual unit inspections, conducts capital walks for budgets, informs manager of apartments that are not meeting property standards or require additional follow up.
  • Maintains accurate records regarding preventative monthly maintenance on all equipment based on manufacturer recommendations or as required by housing regulations or codes.
  • Reviews and makes recommendations in conjunction with other Maintenance personnel in creating and updating Maintenance Manuals, O&M manuals, and MSDS binders.
  • Partners with Regional Managers to create content for Maintenance staff meetings.
  • Must gain systems knowledge and functions pertaining to new build construction properties and be able to train staff.

SUPERVISORY RESPONSIBILITIES

Coordinates the maintenance and janitorial requirements of one or more maintenance sites, in addition to performing the essential duties and responsibilities of maintaining those sites


At properties where there is a Maintenance technician, acts as lead maintenance person and directs the work of the technician and/or the Porter


Receives continuing education in OSHA regulations and training annually.

Requirements:


EDUCATION and EXPERIENCE

High school diploma or general education degree (GED), and a minimum of five years’ experience as a maintenance technician and two years in a maintenance supervisory role.

  • Proven experience as maintenance supervisor or similar role.
  • Strong technical knowledge of all building systems (electrical, heating etc.)
  • Knowledge of health & safety practices and regulations.
  • Understanding of budgeting and performance management.
  • Excellent planning and leadership abilities

LANGUAGE SKILLS

Ability to read and understand documents such as safety rules, operating and maintenance instructions, MSDS sheets and procedure manuals. Ability to write, in English, articulate routine written reports, correspondence, and employee performance reviews. Ability to communicate effectively with residents, vendors and employees of the organization in a professional manner. Demonstrably competent in written and spoken English.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to correctly solve practical problems using appropriate technical judgment (for example, not mixing incompatible cleaning agents). Ability to correctly prioritize workload, particularly in emergency situations.

CERTIFICATES, LICENSES, REGISTRATIONS

Must have reliable automobile transportation and a valid California Driver’s License and insurance.

ADDITIONAL QUALIFICATIONS

· Demonstrated skill and hands-on experience of preventative and on-going maintenance of a property.

· Ability to work independently and in a team environment, under minimal supervision.

· Ability to learn and to teach the YARDI maintenance computer program.

· Attention to detail.

· Experience working with diverse groups, i.e., staff, residents, and vendors.
