Title: Administrative Associate I

Location: Cortland

Supervisor: Front Office Manager

Anticipated Hours: Full-Time 37.5 hours/week


Job Summary:


The Administrative Associate works directly with clients, the front office team and other professionals at the outpatient clinic located in Ithaca, NY. Focus is on the client experience with focus on you and the front office team being the first and last point of contact for our clients.


Minimum Qualifications:


High School Diploma, or equivalent, and ability to multi-task.


Desired Qualifications:


Associates Degree in related field and/or one year of related experience.


Knowledge:


A basic understanding of addiction and chemical dependency treatment. A solid understanding of Microsoft Office Suite. Familiarity with electronic medical record programs.


Skills:


Excellent customer service and interpersonal skills, enjoys a fast-paced environment with ability to effectively multi-task, utilization of computer for documentation and communication, ability to operate office equipment related to the tasks/responsibilities.


Key Tasks:


1) Maintain client confidentiality at all times.

2) Greet clients, collect fees, and direct them using appropriate and respectful customer service skills.

3) Answer phones and transfer calls to requested staff member or assist caller with needed information, take messages and relay to staff.



Key Tasks:


4) Complete the enrollment of new clients and obtain all necessary consents/documentation required per Regulations/CARS policy

5) Generate and submit reports as requested by the Office Manager

6) Perform clerical tasks including but not limited to:

  1. coordinate mail, incoming and outgoing b. order supplies
  2. scanning and tracking of documents



Other Responsibilities:


1) Maintain front lobby area - appearance and tidiness

2) Effective team member - being helpful to others at all times
