As a pivotal member of our team, the Sales Contracts Administrator will be instrumental in the seamless operation of our sales contracts processes. Reporting directly to the Director of Purchasing & Contracts, the Sales Contracts Administrator will be entrusted with the preparation, thorough review, meticulous administration, and precise tracking of service contract proposals and renewals. This position entails securing approvals as necessary and ensuring strict adherence to standard contract terms. Success in this role hinges on a keen attention to detail, unwavering follow-through, and a profound understanding of contract intricacies and departmental procedures.

Hourly Rate Range: $20.00 - $22.00 per hour

Schedule: Monday - Friday 9:00am - 5:00pm PST (ability to support West Coast Sales team)

Work environment: Remote

Responsibilities:

  • Creates customized contracts, including but not limited to Collect, Connect, Fitness, within required turnaround time
  • Complies with predefined approval parameters and tiers, incorporating customized language for additional instructions or terms, terms and conditions, as well as custom billing schedules
  • Manages notifications including property name changes, management changes, ownership changes
  • Creates addendums, updates files, and notifies impacted parties of changes as applicable
  • Creates and distributes addendums for Service Agreements or National Partnership Agreements
  • Updates SharePoint and Salesforce with related documents to maintain history
  • Manages signing process of contracts utilizing 3rd party e-Signature software
  • Upon execution of contract, uploads files to SharePoint and Salesforce, complete Salesforce updates, and notifies impacted parties
  • Updates renewal information on the contract details page, including but not limited to opportunities, property page, contract details page, and company page
  • Provides direction and guidance to staff on proper contract procedures, and escalates issues as needed.
  • Addresses compliance vendor requests such as set up, add locations, certificate of insurance, W9 and Vendor packet and agreement review
  • Assists the Sales Team including Enterprise Sales, Regional Vice Presidents, Regional Area Managers, Regional Sales Executives and Account Executives with quote and agreement process in Salesforce, client reviews and other special requests as needed
  • Performs other duties as assigned

Qualifications:

  • High school diploma
  • 1-3 years of clerical experience, with a preference for experience in contracts
  • Proficient in Microsoft Excel and Word
  • Prior experience with Salesforce is preferred.
  • Demonstrated proficiency in accurate data entry with a minimal error rate
  • Ability to thrive in fast-paced environments and meet deadlines under pressure
  • Meticulous attention to detail to ensure accuracy and quality in all tasks
  • Commitment to upholding the highest standards of integrity, professionalism, ethics, and confidentiality
  • Outstanding verbal and written communication skills, with the ability to effectively engage with diverse audiences
  • Strong customer service orientation with a proactive approach to resolving issues promptly and effectively
  • Exceptional organizational skills, capable of managing multiple tasks simultaneously and prioritizing effectively

The final compensation offered will be determined based on various factors, including the candidate's location, level of experience, and skill set. As such, it may fall outside the range listed above.
