Status: | Hourly Non-Exempt

Salary: $16.00 - $18.00

Summary of Position


Supports the Sales and Catering Department in all activities and achieves the mandate for the department. Supports the Director of Sales, Sales Managers and Convention Services Managers with day to day operations and to ensure communication in their absence.

Duties & Responsibilities


  • Provides service excellence that exceeds guest and stakeholders expectations. Maintains a quality, professional relationship with company employees to foster and promote a cooperative working environment.
  • Processes contracts and correspondence for the Sales Managers and Director of Sales & Marketing.
  • Assures correspondence and other matters requiring attention during absence of managers assigned is properly handled, prioritized or referred to others.
  • Performs administrative duties at the request of catering and sales personnel including but not limited to:
  • Neatly and accurately types correspondence, reports, contracts, etc. from emails, forms or handwritten paperwork ensuring that all correspondence is 100% accurate.
  • Prepares drafts of responses to customers and compiles information for use in meetings, reports, etc.
  • Sets up and maintains an orderly filing system and records of business operations for sales managers to facilitate prompt referral of information as needed.
  • Maintains trace files for action and definite contracts.
  • Prepares coupons, parking tickets and sales kits as necessary.
  • Processes group resumes, group cover sheets and amenities for incoming groups.
  • Receives telephone calls in a courteous manner. Utilizes company telephone etiquette. Takes thorough and accurate messages for referral to managers in their absence. Relays messages in an accurate and timely manner.
  • Keeps immediate supervisor promptly and fully informed of all problems or unusual matters of significance which require corrective action.
  • Attends meetings as required.
  • Prepares reports as requested, to develop an informative database for improved management decision making and critical evaluation of work activities.
  • Performs all responsibilities in a professional, timely and efficient manner. Follows established company policy and projects a positive image to achieve objectives, public recognition, and acceptance as the preferred hotel company.
  • Assists with various accounting duties including, but not limited to daily check deposits, mailing of accounts payable checks, purchase orders, etc.
  • Prepares and maintains the Sales Month End Report.
  • Utilizes hotel specific software to include CI/TY, Red Coat Direct, Opera.
  • Capable beyond basics in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat.
  • And any other duties needed to help drive our vision, fulfill our mission and abide by our Organization's values.



Other Requirements


  • Knowledge of English.
  • Strong technical skills in Microsoft Office (Word, Excel, Outlook) and Adobe Acrobat Pro along with good internet navigating skills.
  • Excellent interpersonal skills as well as oral/written communication skills; ability to interact successfully with all levels of the organization.
  • Attention to detail is a must.
  • Ability to handle conflict situations in a professional manner.
  • Be well groomed and conform to the hotels dress code.
  • Excellent organization skills and flexibility.
  • Cross-trained in all office procedures and positions and fills in when necessary.



Safety Awareness


Maintains safety by adhering to safety policies, being responsible to report all accidents immediately. Supports all safety programs. Proceeds with caution when walking on slippery floors. Ensures proper safety instructions are given before operating any equipment.
