Job Summary:
The Executive Assistant (EA) will support the CEO by optimizing their schedule, handling logistics, and organizing both business and personal tasks. The EA will anticipate needs, manage unforeseen challenges with proactive solutions, and maintain confidentiality across diverse departments in Boston, Abu Dhabi, and Singapore. Additionally, the EA will oversee the smooth operation of a 15-person office, including event planning and stock replenishment, in a dynamic and fast-paced setting.
Responsibilities:
- Provide comprehensive administrative support for the CEO, including scheduling, logistics, and prioritization of business and personal tasks.
- Facilitate communication and document exchange between the CEO, internal teams, and external contacts.
- Manage the CEO's travel arrangements and coordinate executive team logistics as necessary.
- Handle communication, including phone calls, emails, and message-taking.
- Organize meals, meeting setups, and manage office operations like supply ordering and facilities oversight.
- Coordinate internal and external events, including but not limited to board meetings and company gatherings.
- Undertake financial tasks such as expense processing in collaboration with the finance team.
- Address ad-hoc business and personal tasks, project management, and emergency situations effectively.
Qualifications:+
- Bachelor's degree.
- Preferred 2+ years in a dynamic, growth-oriented environment.
- Excellent communication skills.
- Demonstrated proactivity, resourcefulness, and effectiveness in managing new situations.
- Strong skills in office management, organization, logistics, and multitasking, including proficiency in calendar and travel management.
- Attention to detail, especially in confidential matters and document accuracy.
- Experience with international travel arrangements and visa processes is a plus.
- Must maintain confidentiality with discretion.
- Fluency in a foreign language is required, with a preference for Mandarin, Arabic, Hindi, or Tamil.
