This role plays a pivotal part in supporting the CEO and the executive leadership team in guiding the company towards its long-term strategic objectives by analyzing business conditions, fostering collaboration across departments, optimizing performance, establishing procedures, and actively participating in high-level management and cross-departmental meetings. This role also ensures the best use of the company's resources for the establishment of key objectives and mission realization, considering the company’s strengths, weaknesses, capacities, and services.

This is a highly strategic and facilitative role that requires a combination of focus and flexibility to help strategize and plan for HEP’s current and future success. This role requires a practical individual who aligns with HEP’s Core Values. The individual in this role must be self-disciplined, self-motivated, proactive, and able to connect with others to contribute to a welcoming and positive experience for all stakeholders.

Administrative Oversight:

  • Builds and oversees executives’ administrative support team and leads the daily operations of the executive office.
  • Acts as an extension of the CEO and information funnel, filter, and facilitator with internal and external stakeholders.
  • Assess all inquiries directed to the CEO, determine priority and the proper course of action.
  • Triage all incoming requests for the executive’s time and work collaboratively with the CEO’s Executive Assistant to ensure his calendar is aligned with the priorities of the organization.
  • Manage the CEO’s brand and reputation

Strategic Planning:

  • Recommends and contributes to the formulation of the company's long-term strategic goals based on comprehensive analysis and studies of prevailing business conditions.
  • Facilitates the development of strategies to align business objectives with the long-range goals of the company.

Cross-Departmental Coordination:

  • Leads cross-functional strategic initiatives, facilitates special projects, and ensures action items are executed on behalf of the CEO and other senior leaders.
  • Oversight of projects that do not neatly fit within the organizational chart or that fall between departments or leadership areas of responsibility.
  • Nurtures relationships between departments to foster collaboration and ensure cohesive efforts towards strategic objectives.
  • Coordinates with various departments to streamline processes and achieve synergy across the company.
  • Participates in cross-departmental meetings to address challenges and identify opportunities for cross-functional initiatives.
  • Facilitates discussions and initiatives that promote inter-departmental synergy and alignment with company objectives.

Internal Communication Support

  • Contributes to internal communication channels to ensure the dissemination of strategic goals, progress, and updates throughout the company.
  • Collaborates with communication teams to develop effective strategies for conveying company objectives and initiatives.
  • Works with leadership to align their actions and communications in support of agreed upon goals and ensures the CEO’s needs and priorities are conveyed, and timely progress is made.

Performance Optimization:

  • Continuously evaluates business performance metrics and key performance indicators (KPIs) to identify opportunities for improvement and growth.
  • Implements measures to maximize operational efficiency and effectiveness across all departments.
  • Monitors and evaluates results of existing plans to ensure growth and profitability and adjusts as necessary.

Procedural Establishment:

  • Develops, implements, and monitors business-wide procedures and protocols that align with the company's strategic goals and enhance overall productivity.
  • Ensures compliance with established procedures and initiates updates when necessary to adapt to changing business landscapes.

Executive Management Involvement:

  • Attends executive management meetings to provide insights, reports, and recommendations based on analyses of business conditions and performance metrics.
  • Collaborates with executive leadership to align strategies and initiatives with overarching company goals.
  • Keeps leadership abreast of changes in the industry or sector and impact of events on the business climate and incorporates relevant trend data into all plans.
  • Serves as a liaison between the CEO and other members of leadership.

Miscellaneous:

  • Exercises discretion and independent judgment.
  • Maintains strict confidentiality.
  • Other duties as assigned.

Education & Experience:

  • Undergraduate degree in business, organizational development, or related field.
  • MBA preferred but not required.
  • 10+ years’ experience in a business development/strategic role.
  • 10+ years’ experience in the midstream energy sector preferred.
  • Experience in mergers and acquisitions, highly preferred.

Certifications:

  • Lean Sigma Six and/or Project Management Professional certifications preferred but not required.
